POSITION DESCRIPTION

Established in 2007 as a Honolulu-based 501(c)3 non-profit, Kupu affirms the Hawaiian notion of “ma ka hana ka ʻike” or “in working one learns.” This approach has led to the creation of hundreds of internships and service-learning opportunities which blend vocational training and green leadership development to support more than 100 partner sites across Hawaiʻi and the Pacific region.

Program/Department Goals

The Program Administrative team works to support and drive all administrative functions for Kupu programming. Such functions include but are not limited to application collection, onboarding, exiting, executing member payroll, AmeriCorps regulations, etc.

Position Overview

The Payroll Specialist will perform Kupu member payroll functions and administrative duties to support the Administration Manager and the Finance department. They will ensure that member payment is processed on time, accurately, and in compliance with government regulations. They will also comply with all state and federal regulations as it pertains to timekeeping. They will assist the Administrative Manager and other program staff in all levels of payroll/HR-related tasks to provide the best customer service to the participants and management. Must be able to work in a fast-paced environment and have a high level of diplomacy and confidentiality.

Type: Full-time, Location: Oahu (Hybrid Remote Schedulewith Management Approval), Reports to: Administrative Manager

Position Duties

  • Responsible for the accuracy and timeliness of bi-weekly payroll for program participants (200+ participants).
  • Must be able to review time cards, compute wages, reconcile wages, overtime, and other types of pay with accuracy and compliance.
  • Assist in the maintenance of employee records and adhere to all state and federal laws.
  • Post, update and reconcile all employee-related payroll deductions.
  • Manage and administer pay processing outside of normal routine runs.
  • Resolve any issues/questions by supervisor or other parties in a timely and professional manner
  • Work and communicate closely with Professional Employer Organization (PEO) and multiple payroll providers in Hawaii and other Pacific territories. Communication includes any payroll updates that include, but are not limited to, revisions to timesheets, personnel updates and approver access
  • Edit payroll software for changes in member status.
  • Provide necessary communications to program staff.
  • Be willing and adaptable to assist in other departments within the organization

Qualifications:

  • Bachelor's degree in Accounting, Business Administration, Human Resources, or related field preferred but not required.
  • Minimum 1-3 years of experience in processing payroll
  • Proficiency in Microsoft Office, Google Suite, Microsoft 365, Adobe Acrobat Pro
  • Demonstrates excellent written and verbal communication skills
  • Conducts self in a professional and ethical manner
  • Demonstrates attention to detail and organizational skills
  • Maintain the highest standards of accuracy, precision, discretion, and confidentiality.
  • Ability to develop and maintain positive working relationships with staff and management team
  • Exhibits a willingness to learn
  • Ability to meet deadlines effectively and accurately in a dynamic environment.
