PAY RANGE: $51,290.00 - $68,386.00 (Depending on experience and qualifications)

REPORTS TO: Accounting Services Supervisor

DIVISION: Finance

WORK LOCATION: New Braunfels, Texas

SUMMARY

This position is primarily responsible for the collection and processing of all payroll related data, the processing of bi-weekly payrolls, the preparation & transfer of related files, payroll reporting, and all other payroll activities. Other tasks include assisting employees with payroll related questions, gathering and summarizing retirement program information, and completing other accounting related activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinate with Human Resources and division/department managers on all payroll related activities (examples include: the collection and posting of electronic timekeeping data, position, employee benefit, & payroll adjustments, wage garnishments, child support, etc.).
  • Process new hire onboarding entries as well as personnel action changes related to pay, position, title, etc.
  • Ensure accuracy of payroll data and calculations, reconcile & balance payrolls, process bi-weekly payrolls, and generate the transfer of related files after processing.
  • Generate and archive payroll reports and related documentation.
  • Coordinate with payroll software representatives as necessary to resolve issues. Train, understand, & implement new features or modules of the software.
  • Prepare and submit reports to the Texas Workforce Commission.
  • Complete and follow the payroll checklist for the processing of each payroll. As activities or procedures are modified, adjust the checklist.
  • Prepare journal entries following each payroll and post to the general ledger after review.
  • Assist in preparation of audit schedules.
  • Prepare and submit the transfer of 457 deferred compensation plan contributions and loan payments.
  • Review and reconcile quarterly 941 reports. Annually validate W-2s for agreement and distribute as needed.
  • Update various payroll spreadsheets for use in preparation of monthly, quarterly, and annual payroll reports.
  • Review and accept employee and director expense vouchers for reimbursement through the payroll software. Prepare data and estimates for annuity calculations for the Defined Benefit Pension Plan. Upon finalization and approval, distribute information to GBRA’s actuary.
  • Assist the Accounting team with preparation of bank reconciliations and related research.
  • Serve as the first point of contact for general payroll processing and timekeeping inquiries.
  • Perform other duties as assigned.
Requirements:

KNOWLEDGE/SKILLS/ABILITIES

  • Knowledge of and ability to review, interpret, be able to respond to, and implement federal and state laws and local governmental regulations as they apply to payroll activities and reporting.
  • Knowledge of payroll accounting and auditing principles.
  • Experience and knowledge of financial systems and payroll modules for capturing data and generating bi-weekly payrolls .
  • Effective oral and written communication and interpersonal skills.
  • Skill in problem solving and ability to perform research and resolves issues in coordination with software vendors.
  • Ability to maintain high level of confidentiality with sensitive data and perform duties in a professional manner.
  • Ability to routinely exercise initiative and responsibility.
  • Attention to detail and accuracy; ability to meet stringent deadlines.
  • Proficient with Microsoft Office programs.

EDUCATION/CERTIFICATIONS

Undergraduate degree in accounting, finance or business-related field, or

High School diploma with three years of practical payroll experience.

EXPERIENCE

  • Minimum of three years experience in the preparation of and processing of payrolls.
