Job Summary: Hoskinson Health & Wellness Clinic is a newly founded team-based, physician-led, comprehensive health and wellness clinic in the beautiful area of Gillette, Wyoming. Our company was created to provide prospective healthcare resources to the community and meet the needs of our patient base. To do this effectively, we encourage spending more time with patients through a lower daily patient volume. In addition, we are structured to provide a large variety of additional services to patients in-house, including a compounding pharmacy, lab, mental health and social support, exercise and nutrition support, and general primary care. HH&WC offers top-tier technology resources to help achieve these goals and is open to additional resource recommendations pertaining to your specialist field.

Administrative and Patient Support II should help support front-office operations at large. These operations include administrative and clinical duties, along with providing proper services to patients.

The Fundamental 5 (core) responsibilities are:

  • Answering incoming calls to direct callers to appropriate staff, schedule patient appointments, answer general questions, and provide assistance with prescription refills.
  • Return voicemails and assist patients with questions, scheduling appointments, and other necessary details necessary to provide exceptional customer service.
  • Assist reception with patient sign-in, including ensuring accurate completion of intake forms and other documents.
  • Input patient data into EMR system accurately.
  • Assist in scheduling tests, procedures, or other necessary items for patients.

Detailed Responsibilities:

  • Schedule and confirm medical appointments for patients.
  • Answer telephones and direct calls to appropriate staff.
  • Return voicemails and notify appropriate staff of necessary information outside of the appointment setting process.
  • Complete insurance or other claim forms as needed.
  • Greet visitors, ascertain purpose of visit, and direct them to appropriate staff.
  • Operate office equipment, such as voice mail messaging systems, and other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records.
  • Transcribe recorded messages or practitioners' diagnoses or recommendations into patients' medical records.
  • Complete insurance or other claim forms.
  • Receive and route messages or documents, such as laboratory results, to appropriate staff.
  • Interview patients to complete documents, case histories, or forms, such as intake or insurance forms.
  • Perform bookkeeping duties, such as credits or collections, preparing and sending financial statements or bills, and keeping financial records.
  • Transcribe recorded messages or practitioners' diagnoses or recommendations into patients' medical records.
  • Schedule tests or procedures for patients, such as lab work or x-rays, based on physician orders.

Supervisory Responsibilities: None currently.

Direct Reports: This position reports directly to the Office Manager.
