Summary Acts as administrative support to Guest House and Villa sales and Owner Services. Outgoing personality with strong interpersonal and phone skills, know MS Word/Excel and be able to multi-task and prioritize work. Supports the administration and quality of guest services for 100-unit timeshare development, with 5000 private owners as well as a 46 unit Fractional and Whole Ownership Villa development with 500+ private owners. Coordinates owner transactions, arrivals and departures. Must act as customer service representative, administrator and rental agent for Owners, Rental Guests, Interval International and Registry Collection exchange guests. Performs concierge duties for Owners and Guests. Excellent customer service skills, knowledge of SMS|HOST Property Management System, excellent computer skills, phone presence, problem-solving skills, attention to detail, and willingness to help others. Acts as Guest House and Villa Owner Service liaison to all departments.

Friday-Tuesday, 8:00 am to 4:30 pm

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Serves as liaison between Guest House and Villa owners and TFL management

Resolve guest/Owner complaints, suggestions and problems quickly, efficiently and courteously

Process transfer ownership and new ownership contracts by:

Enter re-sale information for Guest Houses and Villas into SMS|Host / Owner Relations

Enter Guest House and Villa sales contracts into SMS|Host / Owner Relations, and mail completed paperwork to new owners

Title Transfer Requests mailing

Assist with facilitating voluntary give-back Guest House program for Owners

Assist with recording Ownership changes with Stowe Town Clerks office

Create rental records for Guest House and Villas in SMS|Host / Owner Relations for new owners

Assist in maintaining Owner contact information in SMS|Host / Owner Relations

Manage Guest House and Villa pre-arrival process, through use of phone calls or emails. Update reservations in HOST with any responses received

Coordinate and administer Guest House and Villa rental program, process rental listings by owners.

Coordinate Villa owner exchanges through The Registry Collection resolving any discrepancies or over bookings

Assist Reservations and Front Desk with check in, as needed, especially on Guest House and Villa arrival days

Assists Director in executing requests/decisions from the Board of Directors

Inform Director of issues impacting owners, guests, staff, operations, and the company in general

Participates in weekly Guest House and Villa Owner meeting (Typically on Monday afternoon)

Education and/or Experience

Minimum three years customer service experience, prefer one year management experience. Prefer ample hotel and timeshare experience in resort setting. Familiarity with HOST property management system; or equivalent combination of education and experience.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
