We are seeking an Order Fulfillment Specialist to join our team! The primary responsibility of this role is to interact with customers, shipping and production departments at bakeries, and freezers. This interaction involves placing and tracking inventory for orders and order research via production, shipping, freezers, and national account sales executives. This position is fast paced and requires meticulous attention to detail while maintaining quality and professional customer service.
Primary Duties and Responsibilities
- Interact with United States Bakery Customers (ie. Buyers & Brokers), vendors, and internal US Bakery Production, Shipping, and Sales departments.
- Solve customer demands within business constraints.
- Evaluate production schedules/inventory/critical due dates to ensure order fulfillment.
- Arrange for transportation/freezer/bake schedules- communicating with Production and Shipping to ensure orders are tracked and accounted for
- Confirm shipments in and out of freezer locations and production locations.
- Confirm and process orders for customers.
- Ensure correct pricing for all items on order and in the computer system.
- Invoice shipped orders– familiarity with company systems and vendor systems.
- Generate reports for internal and external customers
- Ability to work with and analyze customer’s computer systems and their reports (i.e Freezer reports, trucking reports, ordering systems)
- Must have advanced knowledge of Windows, Microsoft Office, Intermediate Microsoft Excel, Microsoft Navision, and Other Windows based programs.
- Must have good verbal and written communication skills.
- Must have high attention to detail.
- Skill in using 10 key adding machines by touch.
- Skill to type 60 words per minute.
- Ability to record input (data entry) information accurately.
- Ability to analyze data input & provide solutions for potential issues.
- Skill & consistency in making arithmetic calculations.
- Oral and written skills to convey ideas, facts, and information effectively and accurately.
- Skill in proofreading data to ensure accuracy.
- Ability to lift, pull, push, carry objects, or reports up to approximately 20 pounds and/or occasionally lift about 30 pounds.
- Knowledge of department, procedures, and practices with the ability to answer work-related questions or aid co-workers and customers in a timely and courteous manner.
- Ability to perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, philosophies, and standards with minimal supervision.
- Ability to fulfill requests or otherwise provide services, accurate information, or assistance in a courteous and timely manner.
- Ability to shift quickly between several tasks without loss of continuity.
- Ability to complete work that is precise and includes few or no errors.
- Ability to identify and use potential sources of data.
- Ability to make rapid, accurate scanning movements with the eyes.
- Ability to listen actively and demonstrate understanding, as well as follow written instructions.
- Ability to demonstrate safe work habits and safe use of equipment.
- Ability to perform all the essential functions of this job.
