High Level Job Description:

FPA Wealth Management is seeking a motivated Operations Manager to join them in this newly added role located on-site in West Chester, PA. This diverse role will involve all aspects of managing the day-to-day, non-client facing operations of FPA Wealth Management. Activities will include managing the firm’s payroll, compliance, and human resources as well as the coordination of all client and internal events.

The Operations Manager will have the opportunity to interact with all employees, as well as with all vendors and clients. The Operations Manager will work with the FPA Wealth Management Leadership Team in steering the future of the firm’s back office and operations.

Excellent internal and client communication, presentation, and team skills are a must. The ideal candidate will be adaptable and able to operate effectively in a fast-paced environment. Additionally, the successful candidate must be enthusiastic, diligent and take initiative and pride in their work. Self-motivation and the ability to learn quickly and deliver are essential skills.

Essential Functions

  • Manage payroll and act as our point of contact with our payroll company.
  • Pay all office bills and manage the general ledger of the firm.
  • Invoice all partners and directors for their share of expenses.
  • Oversee all HR functions including overseeing the hiring process when needed and managing the employee review process.
  • Handle all insurance, FINRA and SEC licensing requirements for all licensed team members.
  • Procuring all office supplies.
  • Interact with the landlord and management company to coordinate maintenance and contractor needs.
  • Schedule and coordinate all firm-level and client-related events.
  • Serve as the firm’s Notary.
  • Coordinate office décor and appearance, including seasonal changes.
  • Submit weekly compliance reporting to our RIA, Private Advisor Group.
  • Manage the FPA Wealth Management website and social media sites.
  • Coordinate and oversee activities for all Compliance Audits.

Required Education and Experience

  • Bachelor’s Degree or equivalent work experience.
  • Minimum of 3+ years of experience in business, preferably in HR or operations.
  • Ability to prioritize and complete multiple assignments concurrently.
  • Understanding of basic HR functions.
  • Flexibility and ability to adapt quickly to changing assignments.
  • Strong management, communication, organization, documentation, and attention to detail.
  • Must be able to work with minimal supervision within a structured environment and possess excellent teamwork, organization, and communication skills.
  • Must be enthusiastic and take initiative and pride in their work.
  • Ability to collaborate effectively with other team members and directors.
  • Exceptional problem solving and troubleshooting skills.
  • Proficiency with Microsoft applications.
  • Experience with QuickBooks is a plus.
  • Have a PA notary license or the ability to obtain the license within 6 months of hire.
