Public Prep offers a competitive salary commensurate with experience, qualifications, internal equity, and budgeted amount for the role. The salary range for this position is $50,000-55,000. We offer a comprehensive benefits package. Student Information & Record Keeping:

    • Input student data on the student information system (PowerSchool)
    • Generate reports from databases for internal and external reporting, compliance, and school operations
    • Communicate with Public Prep to share up-to-date and organized student information electronically, including immunization, birth certificate, proof of address, physical examinations, lunch forms, and any other document required by the school
    • Obtain all student change documentation, including withdrawals from the school and intent to return forms
    • Serve as primary point-of-contact for internal grade reporting system
    • Produce and distribute progress reports and report cards
    • Work closely with the Home Office Based Enrollment Coordinator to ensure that the DOE Invoice is accurate and submitted on-time.

School Operations:

    • Provide daily supervision during lunch and recess Lead dismissal preparation daily, including maintaining the “dismissal binder” and after-school roster
    • Dismiss after-school, and lead late pick-up process
    • Participate in school coverage duties as assigned (e.g., arrival, classroom)
    • Issue Metro Cards semi-annually
    • Manage all aspects of field trip planning and execution, except vendor payment
    • Facilitate injury, lice, and bed bug reporting process
    • Distribute fire drill rosters on a weekly -basis, absent list on a daily -basis
    • Communicate proactively with families about upcoming opportunities for a deeper school-family partnership.
    • Send notification calls (i.e., Remind calls) to parents as needed
    • Maintain the school’s voicemail system, ensuring special messaging such as Snow Days and vacations are up to date
    • Provide additional support to the Director of Operations, as directed Support Operations team sustainability by creating and maintaining function-specific process maps as necessary
    • Support after-school and family events, as necessary
    • Uphold quality standards and align activities with school-wide vision of excellence.
    • Maintain your setting with a consistent, comprehensive effort.
    • Build relationships of respect and rapport with students, staff, and families.

Testing:

    • Confirm receipt of all tests upon delivery, ensuring correct tests in the proper quantity are delivered
    • Ensure proper procedures and protocols are followed for the security of tests, i.e. storing in a locked closet
    • Prepare for test administration, i.e., preparing test booklets, sharpening pencils, printing testing signs and student labels, etc.
    • Securely pack and deliver tests to proper scoring facility
    • Serve as primary point-of-contact for interim assessment database online and register 3rd and 4th grade students and staff members in the database

Communication:

    • Communicate in writing and orally in a clear, concise, and compelling manner.
    • Anticipate the reactions of others and plan pre-emptively.
    • Tailor communication (including content, tone, modality, and timing) to a range of audiences and settings.
    • Provide precise, accurate answers to family inquiries.

Qualifications

    • A bachelor's degree from an accredited college or university
    • Minimum two (2) years of previous office management/ administrative experience
    • Fluency in Spanish preferred
    • Superior organizational skills
    • Team player with strong interpersonal skills Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Publisher
    • Demonstrated passion and commitment to the Public Prep mission
    • Maturity, humility, strong work ethic, and a roll-up-my-sleeves mentality
