Oakwood Village Assisted Living is looking for a few congenial, professional, hard-working, and reliable individuals to fill our available Part Time/On Call Front Desk Representative position.

Work hours - 8:00am-5:00pm with an hour lunch. Days will Vary Holiday and weekend availability.

Job Summary:

The concierge performs those tasks needed to organize the front office; greeting people, answering phones, giving appropriate information and assisting Supervisors with community needs.

Essential Duties and Responsibilities:

  • Answering incoming telephone calls, determining purpose of callers, and forwarding calls to appropriate personnel or department (transferring, on-hold, group paging). Ensure office equipment is properly maintained and serviced.
  • Taking and delivering messages or transferring calls to voicemail when appropriate personnel are unavailable (screen calls to determine those not necessary and/or of a sales nature). Ensure main voicemail is constantly updated.
  • Assist Business Office Manager with clerical duties to include faxing, copying, and organizing/maintaining personnel and residents’ files. Assist other Department Heads with special projects and/or assignments when needed.
  • Receiving, sorting and distributing mail to appropriate departments and resident mail boxes.
  • Accept reservations and manage the guest meals tickets ensuring they are billed correctly.
  • Work flexible times, including, weekends, evenings and holidays. Attend all in-services, safety meetings, staff meetings and/or other meetings as called upon.

Knowledge, Skills and Abilities Required

  • Age 18 or older.
  • Effective written communications skills and computer skills including the ability to operate spreadsheet and word-processing programs (MS Office or equivalent)
  • Internet skills including use of e-mails, group messaging and data collection
  • Maintain current First Aid certification.
  • Ability to read, write, speak and comprehend the English Language.

Physical Requirements of the Job: The position requires to mainly work in a busy, open area office, faced with constant interruptions and must meet with others, such us employees, vendors, residents and/or family members on a regular basis.

Job Type: Part-time

Pay: $15.50 - $16.50 per hour
