Office Manager – Secondary

Position Description:

This position coordinates the activities of the school office. This individual acts as secretary to the Principal, coordinates office functions and provides varied public relations and support services for students, parents, staff and the general public. The position has significant responsibilities in the areas of building budgets, production of school communications and the management of in-building personnel procedures. A positive, customer-service orientation is essential as is the ability to perform multiple tasks concurrently in an open setting subject to interruption and high activity. A skills assessment will be administered.

Minimum Qualifications:

1. High school diploma or equivalent and three years of increasingly responsible secretarial experience in a high school setting.

2. CPR and First Aid Certification and HBV/HIV Type I Training is required upon hire

3. Affinity for working with adolescents.

4. Possesses outstanding communication and team building skills.

5. Demonstrated compatibility with staff, program needs and school goals.

6. Regular attendance.

7. Demonstrated knowledge of skills and experience in the following areas:

  • Keyboarding skill at 40 wpm, 50 preferred; data entry skills.
  • Operating a variety of office machines; willingness to learn to use other machines and programs as needed
  • With new technologies and the ability to incorporate these into office management.
  • High level of technical skills and secretarial procedures.
  • Customer service and a busy office setting required.
  • Initiative and follow through in all areas of responsibility.
  • Places a priority on quality; takes pride in work.
  • Good problem solving skills with the ability to anticipate potential needs/problems; resourceful in finding solutions.

8. Demonstrated ability to:

  • Operate computer peripherals and software programs including PowerSchool Student Management Systems, PageMaker, Access, Excel, Word and Quicken.
  • Use and edit for correct grammar, spelling and English usage.
  • Use laptop computer to compile and form notes/minutes as a meeting is in progress.
  • Perform accurate mathematical calculations.
  • Set up and maintain an efficient filing system.
  • Establish and maintain effective and positive working relationships with students, staff and the general public.
  • Organize, set priorities and coordinate short-term and long-term projects.
  • Oversee work of clerical employees.
  • Work effectively and harmoniously under pressure.
  • Successfully handle multiple assigned tasks in a busy, demanding environment
  • Consistently has a positive attitude.
  • Exercise independent judgment.
  • Maintain confidentiality of students, staff, parents and personnel issues.

9. Ability to establish and maintain effective working relationships with a variety of people in a multicultural and diverse socio-economic setting.

Performance Responsibilities:

1. Serve as an active, productive and collegial team member, who values, builds and maintains supportive relationships with students, staff, parents and community members.

2. Manage the school office; oversee work of office clerical staff; plan and organize clerical workload; respond to telephone and in-person inquiries from students, parents, staff and the public; screen calls for Principal and provide information concerning building activities.

3. Serve as the secretary to the Principal; maintain appointment calendar and schedule meetings; may take minutes at staff meetings; manage building projects; compile and type various reports, lists, correspondence and other documents.

4. Maintain building information files. Maintain Certificated and Classified time sheets and leave records. Manage compensatory records. Prepare supplemental contracts.

5. Compose and type confidential correspondence, memoranda, forms and reports. May open, screen and prioritize Principal's mail; keep Principal informed of significant items requiring review or action.

6. Arrange for assignment and release of substitute personnel in coordination with the District substitute office.

7. Manage and monitor building budget, including purchase orders and purchasing card expenditures and procedures. Maintain bookkeeping records for building budgets and other school-managed budget codes; assist in budget preparation; make computer ledger entries and keep department/Principal informed as to current balance.

8. Oversee building phone system.

9. Monitor students being disciplined in office as needed.

10. Gather, type, and distribute information for staff bulletin and parent/student/staff handbooks; may gather, compose and type information for parent/school newsletters.

11. Determine building supply needs; take inventory, order, receive, coordinate and distribute building supplies. Prepare annual supply orders. Place orders for building department heads.

12. Work cooperatively with building staff in an atmosphere of cooperation and collegiality.

13. May contact parents regarding injuries or illnesses; assist with dispensing medication to students as indicated on doctor's written orders.

14. Manage beginning and end-of-the-year staff check- in/out.

15. May gather and compile information for the State and District reports.

16. Oversee work of office staff. May provide input to performance evaluation. Oversee yearly work calendars for office staff. Delegate training and supervision of student assistants.

17. Provide backup assistance to office staff as required.

18. Delegate coordination, distribution and collection of Federal Impact Survey (PL-874).

19. Participate in total building program.

20. Provide positive assistance to a diverse population.

21. Uphold and assist in enforcing school rules, administrative regulations and board policy.

22. Take all necessary and reasonable precautions to protect students, equipment, materials and facilities.

23. Requires the use of multiple communication and technology systems, which may include electronic mail, computers, document cameras, smart boards, and web-based resources.

24. Perform similar, related duties as assigned.

Job Type: Full-time

Pay: $29.12 - $35.68 per hour
