The Job:
Do you want to make a sustainable change in our community? Harbor Care is seeking a highly effective and experienced Office Manager for Healthy at Home to help further our mission.

COVID-19
Due to the number of facilities, we visit, market/assessments that require healthcare partners to be vaccinated (and client’s homes that request only vaccinated workers), the COVID-19 vaccine is required for this role as we work with a vulnerable population.

Job Summary:
Harbor Care seeks an Office Manager for our Home Health office. This position requires an individual who can manage general office duties, staff, and clients to help ensure our company runs smoothly. You will work one-on-one with the Administrator and correspond frequently with clients, staff, insurance companies, and vendors.

Basic Qualifications:

  • High School Graduate and one year of supervisory experience in health care.

  • Demonstrate proficiency with Microsoft Teams, Microsoft Office (Word, Excel, and Outlook) applications, scheduling systems and other health care industry related software.
  • Ability to listen and communicate clearly, fluently, and diplomatically orally and in writing.
  • Ability to remain flexible, resilient, calm and present a well-groomed professional image.
  • Ability to plan, organize, prioritize, delegate and accurately follow through in work activities with time constraints and interruptions to meet deadlines, as well as work independently with a minimum amount of direction and supervision.

Preferred Qualifications:

  • Bachelor's degree and two years of supervisory experience in home care is preferred.

Strong analytical and organizational skills

Physical Demands:

  • Lifting, carrying, pushing or pulling up to 30 pounds.
  • Reaching and handling.
  • Adequate eyesight for reading, writing, driving and performing tasks.

Clerical Operations:

  • Assist in all phases of clerical operations on an as-needed basis including data entry, answering phones, generating reports, filing, scanning and copying.
  • Assure coverage for receptionist, medical records and scheduling duties of the office. Back up as needed.
  • Record daily census and send to Administrator and IDT in a timely manner.

Order office supplies as directed by Administrator and manage supply expenses against budgeted allotment.

  • Maintain inventory records and serve as resource for troubleshooting on all office equipment.
  • Ensure that new colleagues complete all necessary on-boarding processes, paperwork for Payroll and personnel file, orientation, photo for identification badge, and any other training as needed.
  • Create and maintain confidential records, such as personnel files, employment applications and employee in services.
  • Track and update colleague professional licenses, automobile insurance, in-service training, contract renewals, and physician licenses through personnel audit policy.
  • Assist Administrator and Clinical Director in tracking Covid employees and patients.

Payroll/Timesheets:

  • Enter employee timesheets into EMR acutely and efficiently to facilitate timely payroll processing.
  • Process payroll according to company procedures.
  • Maintain employee timesheet and payroll files.
  • Prepare Workers Comp report, TSA report and submit to BPAS after each payroll.

Billing/Authorization:

  • Verify payor information, insurance, and eligibility prior to admission.
  • Track authorizations from admit to discharge.
  • Bill all insurances within timely filing guidelines, as well as follow up on all claim rejections to ensure proper payment.
  • Conduct final billing audit and issue assignments to pre-billing team when findings require further documentation.
  • Advise Administrator in matters of accepting/declining problematic payers/concerns/delays within billing department.
  • Maintain comprehensive working knowledge of government billing regulations including Medicare and Medicaid regulations and serve as a resource for appropriate agency personnel.
  • Follow up on accounts for billing and on overdue accounts for collections via phone calls, resubmissions, and adjustments for billing errors.
  • Import/post payments from all payer types.
  • Create and distribute various financial reports as needed.
  • Transfer OASIS data to state timely and accurately.
  • Assure claims integrity for the agency.
  • Performs other duties as assigned.
