POSITION OVERVIEW
The National Senior Manager of Operations will work to manage key national operational processes and systems that support Jumpstarts work across the network. Major responsibilities include, but are not limited to, effectively managing vendors and collateral, facilitating network communications, supporting management of state registrations and facilities management across Jumpstart hub offices, and managing staff logistics. This role will require notary public certification, Jumpstart will pay for any necessary requirements for certification if it is not already held. This position requires regular interaction and collaboration with multiple departments and roles at Jumpstart, with an especially close partnership with Technology. The National Senior Manager of Operations will report directly to the Vice President of Operations and will supervise one direct report, the National Manager of Operations and Technology.

SPECIFIC RESPONSIBILITIES
1. Internal Communications

  • Manage internal communication processes to facilitate flow of information, requests, and communication between national, regional and site staff via the Intranet, Outlook, MS Teams, Network convenings, and other venues
  • Support logistics of recurring opportunities for staff to engage in intentional ways to increase morale and demonstrate our defined culture, including the Quarterly Community Meeting, 308 Staff Meeting, Virtual National Staff Meetings, and any additional opportunities that arise
  • Support VP of Operations in coordinating department and team meetings, retreats, and other ongoing communications

2. Office and People Management

  • Management and supervision of the National Manager of Operations and Technology
  • Provide leadership and support to National Manager of Operations and Technology with weekly check-ins and regular communication
  • Guide National Manager of Operations and Technology in ensuring the smooth functioning of office systems, including a welcoming front desk presence, vendor relationships, office equipment and supplies, mail, storage and office presentation
  • Model and support cross-department collaboration by engaging in positive and productive work relationships across teams/departments and setting expectations for effective collaboration with internal partners
  • Working with National Manager of Operations and Technology, serve as key liaison between museum staff (at 308 Congress St) and Jumpstart on all issues regarding Jumpstart’s national office space
  • Work with VP of Operations to support facilities, lease management, and building vendors across Jumpstart’s hub offices (NYC, DC, Chicago, Atlanta, LA, and Bay Area)

3. Organization Operational Support

  • Manage vendor partnerships for collateral purchasing (such as Corps member uniforms), managing billing and payments, and budget tracking and management
  • Manage and maintain state registrations in collaboration with President
  • Manage and support staff logistics for new hires and exiting staff (ex. setting up logins, shipping computers/hardware, welcoming new staff, etc.)
  • Notary public for organization
  • In partnership with the Operations and Technology Manager, lead the work with necessary teams to provide clear direction for the dissemination of collateral, including Corps member t-shirts and marketing materials for recruitment to sites
  • Understand Jumpstart’s internal policies and procedures in order to assist with guidance and direction to ensure a positive customer service response if the responsible department is unavailable

QUALIFICATIONS
Required

  • Bachelor’s degree or equivalent relevant professional experience
  • Commitment to Jumpstart’s core values: learning, social justice, community, joy, and inclusive

leadership

  • At least 3-5 years of professional experience in office management
  • Notary public certification
  • Experience and comfort working with individuals from diverse backgrounds and communities
  • On-going commitment and interest in social justice or diversity, equity and inclusion work
  • Ability to provide verbal and written feedback
  • Outstanding written and verbal communication skills with people of diverse skill sets and expertise
  • Excellent relationship building skills; ability to personally connect with and engage diverse groups of

internal and external stakeholders

  • Ability to manage basic fiscal matters, such as an operating budget
  • Experience in multi-project planning and management
  • High comfort level researching and learning new software and technology systems
  • Experience managing external vendors
  • Knowledge of or capacity to learn Jumpstart’s program model and operational structure
  • Knowledge of MS Office Suite including Outlook, Word, Excel and PowerPoint; on-line meeting tools
  • Flexible work approach and the ability to act with sensitivity and discretion while handling

confidential information

  • Ability to work independently and as a self-starter
  • Ability and willingness to travel to various locations as necessary for completion of job duties

Preferred or Ideal

  • Project management experience
