The Pediatric Infectious Diseases Society (PIDS) is seeking a Meetings and Education Coordinator. PIDS membership encompasses leaders across the global scientific and public health spectrum, including clinical care, advocacy, academics, government, and the pharmaceutical industry. From fellowship training to continuing medical education, research, regulatory issues, and guideline development, PIDS members are the core professionals advocating for the improved health of children with infectious diseases both nationally and around the world, participating in critical public health and medical professional advisory committees that determine the treatment and prevention of infectious diseases, immunization practices in children, and the education of pediatricians.

The Meetings and Education Coordinator, PIDS oversees two critical aspects of our mission:

  • Coordination of PIDS-relevant components of scientific meetings: Activities will include serving as a liaison to the hosting organization and working with PIDS committees to execute successful PIDS programming at major conferences. These conferences currently include the St. Jude/PIDS Conference (Memphis, TN), IDWeek (held annually in coordination with the Infectious Diseases Society of America), the Pediatric Academic Societies Meeting (held annually in coordination with the Society for Pediatric Research), the PIDS Antimicrobial Stewardship Conference, ESPID (held annually in coordination with the European Pediatric Infectious Diseases Society), WSPID (held annually in coordination with the World Society for Pediatric Infectious Diseases), and PREP:ID (held in coordination with the American Academy of Pediatrics).
  • Support of PIDS Educational Activities: The coordinator will also be responsible for coordinating educational activities of the Society, including webinars, journal clubs, and online educational activities.

Essential Responsibilities


  • Serve as learning management system (LMS) main point of contact
  • Support the Vaccine Advocacy Committee in the oversight of the Comprehensive Vaccine Education Program
  • Assist with module development and conversion into SCORM files
  • Coordinate and develop webinars and program evaluations for other initiatives (e.g., Virtual Clinical Case Conferences, IDAE Grand Rounds)
  • Create reports to monitor and track LMS usage and program attendance
  • Support program management for PAS, ASP, PREP:ID, and IDWeek meetings including establishing guidelines with PIDS leadership, configuring the submission site, and coordinating committee review
  • Serve as operational point of contact for speaker management
    • Coordinate interactions between speaker and PIDS liaisons
  • Maintain database for speakers and scientific abstracts and support PIDS liaisons with reports, data quality checks, and general support
  • Collaborate with IDWeek, PAS, and AAP Meetings and Education Team on creating marketing content to promote IDWeek, PAS, PREP:ID meetings
  • Support PIDS Executive Director and Governance and Foundation Operations Coordinator in planning the PIDS Board meetings
  • Support PIDS Executive Director and Governance and Foundation Operations Coordinator in planning the Foundation Annual Dinner
  • Coordinate and manage the scientific abstract and case presentation portion of the St. Jude/PIDS Conference including establishing guidelines with PIDS leadership, configuring the submission site, and coordinating committee review
  • Serve as operational point of contact for speaker and abstract management system
    • Coordinate interactions between speaker and abstract management system and St. Jude staff
    • Compiles and ensures the timely and accurate management of data for St. Jude/PIDS conference
  • Correspond with speakers on session details, run of show, logistics, and reimbursements for all meetings
  • Coordinate abstract review, including hosting conference calls, compiling scoring data, and running reports
  • Assist Communications and Marketing Manager to create content for PIDSNews to promote programming
  • Provide general support during and after calls, to include taking minutes and/or data entry
  • Performs other work-related duties as assigned


Minimum Qualifications and Experience:

  • Bachelors degree in related field, relevant work experience can be submitted
  • 2-3 years previous office support or administrative experience in a similar setting preferred

  • Detail-oriented with strong organizational skills
  • Excellent project management skills
  • Ability to prioritize deadlines and manage multiple tasks in a fast-paced environment
  • Ability to learn new software applications; existing familiarity with educational database management systems is highly beneficial but not required
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint)


Travel Requirements

  • Must be able to travel at least 5% of the time
    • IDWeek (annually within the US or Canada)
    • IDWeek Program Committee Planning Meeting
    • St. Jude/PIDS Conference (annually, Memphis, TN)
    • PAS Meeting (annually within the US or Canada)
    • ASP Conference (annually, St. Louis, MO)
Physical Demands
Able to bend, sit for long periods of time, lift 10-20 lbs.
