Overview:
The Medical Assistant provides primary support to the provider by proactively anticipating the provider needs, preparing the patient for the visit using established patient preparation guidelines, maintaining efficient patient flow, and assisting the provider with treatments and procedures. Perform procedures with completed and documented competency, within scope of certification, PHS policy and under the supervision of a provider. Provides medication administration per providers orders and supervision of a provider. Provides support for clerical functions to include scheduling, referrals, and prior authorizations. Performs activities to maintain a clean, stocked, safe, and well-organized patient care environment. Provides In-basket message support. Reports to Clinic Manager.

Qualifications:
  • High school diploma or GED
  • Prefer 3-year experience (ambulatory care preferred).
  • Successful Completion of a Medical Assistant or a Certified Nursing Assistant program from an accredited school preferred.
  • BLS (AHA and ASHI Healthcare Provider) required within 90 days of hire.
  • Completes all Organizational, Department of Nursing and Department-Specific competency training/requirements within specified timeframe.
  • Must pass the Medical Assistant Training Final Exam, administered by Clinical Education, with a score of 90% or better and demonstrate competency in required skills.
Responsibilities:
Responsible for performing medical assistant procedures after completion of competency within scope of certification, under the supervision of a provider and PHS policy such as, not an all-inclusive list:
  • Prepares patient for rooming and exam as appropriate.
  • Prepares and administers medications and immunizations as directed by the provider.
  • Assists with procedures as determined by the provider.
  • Suture, staple removal and dressing changes.
  • Phlebotomy.
  • Collecting and preparing laboratory specimens.
  • Providing basic education to patient(s) regarding medications and special diets.
  • Foley catheter removal and/or placement.
  • Ace wrap, Splint application.
  • Set up aseptic and sterile procedures.
  • Office-based procedures with evidence of training and competency validation.
  • Basic Foot Care.
  • Orients new hire MAs.
  • Performs Regulatory Readiness audits as designated by the Clinic Manager.
  • Works under provider and organizationally approved protocols within their training and certification.
  • Assists with visit closure.
  • Performs MA visits per protocol.

    Indirect Care Activities:
  • Responsible for Kanban system for stocking exam rooms and procedure room.
  • Maintains a clean, organized, safe, well-stocked environment, and follows infection control and regulatory standards.
  • Provides support for clerical functions when needed to include scheduling, referral management, and prior authorizations:
  • Takes patient medical histories.
  • Manages patients calls and In-basket messages.
  • Schedules patient appointments according to guidelines as defined by standard work.
  • Monitors providers schedule to identify -no shows- for rescheduling. Places reminder calls to patients.
  • Manages prior authorization for durable medical equipment, diagnostics, and specialties.
  • Manages referrals for diagnostic testing or specialist.
  • Manages and maintains tracking of Advanced Directives, FMLA, and other patient forms.

    Teamwork:
  • Participates on interdisciplinary team to meet patient care and clinic operation needs, working cooperatively with others to accomplish required work in a timely and efficient manner.

    Visit Navigation:
  • Prepares patient for the visit using established patient preparation guidelines, collecting appropriate and accurate data, and providing all aspects of primary support to the provider.

    Equipment and Procedures:
  • Uses patient care equipment and performs patient procedures in a safe, competent manner according to defined standards of practice.

    Message Management / Test Result Notification:
  • Responsible for taking patient calls and initiating Telephone Encounter(s) for the providers and care team. Ensures accurate, timely response to and documentation of patient calls, message requests, and notification of test results. Trained in various programs to include but not limited to scheduling, prior authorizations, and referral management.

    Customer Service and Caring Practices:
  • Applies AIDET principles as well as good listening, oral and interpersonal communication skills to create a supportive, therapeutic environment, and provides responsive, compassionate care in meeting patient, significant other, and family requests and needs.

    Communication:
  • Communicates pertinent patient data to provider, keeping him/her informed of issues and concerns regarding patients or the environment.

    Quality Improvement:
  • Works collaboratively with care team to meet process improvement goals and clinical quality metrics. Responsible for orientation and training of new medical assistants under the direction of the Clinic Manager. Serves as a mentor for newly hired medical assistants.
