SUMMARY:
The Internal Communications Specialist role is responsible for the successful management of CSM Group’s intranet site and its intranet resources, including but not limited to the maintenance of the visual design, site navigation and content; coordinating, engaging, and training content editors and site administrators; reporting and analytics; and monitoring the health of the underlying technology with support from the Information Technology Department.
Reporting to the Director of Marketing, the Internal Communications Specialist also translates business strategies into key messages, develops appropriate internal communications initiatives in support of those strategies, and executes and drives programs that create excitement, drive engagement, align teams, and shape culture.
The ideal candidate will have proven ability to execute communications plans, strong writing skills, and a natural ability to think strategically while delivering tactical results. This role works with the company’s executive leadership and internal teams to communicate new information and promote the company’s special strengths and values.
This is a full time FLSA non-exempt position. This Kalamazoo-based position requires at least 40 hours per week with the ability to work more if necessary.

ESSENTIAL DUTIES & RESPONSIBILITIES: *

  • CSM GROUP INTRANET (75%)
  • Develop, maintain, and provide updates on an intranet strategic roadmap identifying key projects and priorities.
  • Coordinate and maintain resources to ensure the site is kept up to date and supports users.
  • Work closely with key stakeholders to understand their information needs to assist with site implementation and maintenance.
  • Support content owners and site administrators with resources and assistance as appropriate.
  • Administer the ongoing operation and development of the intranet content management system.
  • Develop and deliver training and resources for content editors and site administrators; provide advice and operational support as appropriate.
  • Coordinate and maintain site content, ensuring compliance with collaboratively agreed upon policies and standards that support corporate objectives.
  • Build and update sites/pages that adhere to the company internal brand.
  • Assist in the development of procedures, policies, and other strategic intranet documents.
  • Evaluate the usability of the intranet, identify user problems, and suggest possible improvements to build the intranet into a more effective knowledge management tool.
  • Lead efforts to create and maintain sound site navigation (information architecture).
  • Understand the basic technology platforms in use and how technologies are integrated to give the appearance of a seamless system to the user.
  • Serve as a liaison with Information Technology (IT) and software vendors on technical issues, implementations, maintenance, and upgrades.
  • Coordinate and partner with the IT Department to maintain function of underlying infrastructure.
  • Monitor site analytics and report on key performance indicators (KPIs). Provide periodic channel performance reporting and source data for reporting purposes.
  • Corporate Communications (25%)
  • Help create a best-in-class internal communications function across the company that fuels employee engagement, influences connectivity and culture, positively impacting all employees.
  • Develop communication materials using a variety of tactics (written communications, presentation materials, Microsoft Teams and other platforms, small group meetings, etc.) to articulate key messages.
  • Ensure communication messaging and materials are high quality, accurate, appropriate, and integrated with company priorities and themes.
  • Assist in the planning, coordination, and execution of internal employee events as needed and appropriate.
  • Assist in writing and editing impactful and engaging content that effectively describes and promotes CSM Group’s brand.

MINIMUM REQUIREMENTS:

  • Bachelor’s degree in marketing, communications, or a similar discipline.
  • Minimum 3 years of related work experience required; 5 years preferred.
  • An equivalent combination of education, training, and experience may be considered.
  • Relevant, working knowledge of intranet content management systems required.
  • Experience in copywriting and editing.
  • Solid understanding of project management principles.
  • Excellent communication (oral and written) skills.
  • Proficient command of English.

Valued, but Not Required

  • Knowledge of the A/E/C industry.
  • Experience in web design and content production.
