DUTIES AND RESPONSIBILITIES

· Duty #1 40%
Researches and inputs complex client treatment and/or service data maintaining data integrity pertaining to registration, financial subsidy reviews and updates; demographic and registration data integrity in the electronic health record, appointment scheduling, patient check-in/check-out, collecting and recording fees for services rendered, internal and external customer support, troubleshooting errors, responding to patient requests for information and referrals, explaining health center policies to staff and customers; walk-in and telephone reception; building navigation. Interfaces with internal and external customers including facilities management and vendors. Remains aware of security protocols and standards. Enacts security procedures when required. Provides services with integrity, friendliness, and in a professional manner.

· Duty #2 20%
Use the electronic health record to obtain and accurately maintain client insurance, demographic, and financial information. Verify that general and specific consent forms are completed prior to care being rendered. Address client overdue, expired, or expiring pre-authorizations. Verify insurance information prior to each appointment. Complete reminder calls per schedule and ensure that appointments are scheduled, canceled, and rescheduled per standard operating procedure.

· Duty #3 10%
Schedule and complete client financial subsidy agreements in advance of their expiration or upon notification of a significant change in the client’s financial status. Collect information and signatures for the subsidy agreement in accordance with established procedures and policies. Explain client’s financial obligations thoroughly and with minimal need for escalation. Update all information in the electronic health record per standard operating procedures.

· Duty #4 10%
Provide exemplary customer service to CSB clients. Assist clients in distress by following procedures to request emergency assistance. Effectively interact with potentially highly agitated, psychotic, suicidal and homicidal clients. Use independent judgment to ascertain urgent or crisis situations; and mitigate upset clients in a manner that is the least disruptive to other clients. Ensure the readiness of the reception area each working day by maintaining assigned hours and monitoring the lobby’s overall appearance and function.

· Duty #5 10%
Collect payments, generate receipts, and accurately record payments. Maintain cash drawers per CSB and Fairfax County cash handling procedures. Respond to basic customer billing inquiries; appropriately refer clients to the Client Access Services Team Lead for more complicated billing inquiries. Refer clients with overdue, expired, or expiring subsidies to the appropriate person in a timely manner. Refer clients to the Benefits and Enrollment team to access public benefit services. Performs various screenings on individuals entering CSB facilities.

· Duty #6 10%
Distribute mail and faxes in a timely manner. Answer emails and phone calls appropriately and timely. Keep client records confidential and maintain record information per Federal and State laws, medical and licensure requirements. Route record requests to the appropriate person. Adhere to HIPAA and 42 CFR standards. Assist with supply ordering and inventory management. Assist with scheduling conference and meeting rooms. Assist staff with accessing information to independently resolve IT barriers. Ensure that facilities are clean, orderly, and presentable. Report malfunctioning office equipment or facility equipment to the appropriate person in a timely manner

Pay: $20.00 - $21.00 per hour
