Associate’s Degree with minimum of one (1) year work experience in HR, administrative assistant, or related field; OR high-school diploma with minimum of five (5) years of related work experience.

The Human Resources Assistant & Activity Coordinator is a member of the Human Resources (HR) team and provides operational and administrative support and service to the HR team, employees, retirees and external parties. The Human Resources Assistant & Activity Coordinator will provide customer service, administrative support, and coordinate events and activities for employees and retirees.
Qualifications Education, Experience, and Specialized Skills
  • Associate’s degree required with a minimum of one (1) year work experience in Human Resources, administrative assistant or related field; or
  • High School Diploma with a minimum of five (5) years of related work experience.
  • Demonstrated customer service excellence and outstanding communication skills.
Organizational Relationships
  • The Human Resources Assistant & Activity Coordinator reports to the Executive Director of Human Resources.
  • The Human Resources Assistant & Activity Coordinator doesn’t supervise any other positions.
  • The Human Resources Assistant & Activity Coordinator coordinates most closely with the Human Resource office and the Payroll Officer.
Primary Responsibilities/Essential Functions
A.) Provide Administrative and Clerical Support to the Human Resources Department. Functions include but are not limited to:
  • Requisition of office supplies, mail processing, answer phones, respond to emails, schedule meetings and appointments (as requested), reserve meeting/conference rooms, prepare facility work orders and IT help desk tickets, maintain calendars, prepare purchase orders and vouchers, process any administrative paperwork, filing.
  • Data entry related to personnel records in HRIS system.
  • Provide customer service to employees and students; greeting visitors to the Human Resource Department.
B.) Activity and Event Coordination
Lead in organization and coordination of activities and events for employees and retirees which includes but is not limited to:
  • Organize and coordinate any support needed during the activities or events.
  • Ensure required staff and materials are available and prepared for events or activities.
  • Work with various departments and staff on campus for marketing, printing, publishing, scheduling, multimedia needs, and event setup/teardown, etc.
  • Communicate activity and events to employees and/or retirees.
  • Ensure funds are used effectively and efficiently for events and activities.
  • Evaluate the success of each activity or event, and identify opportunities for improvement.
  • Maintain records for assigned activities and events.
  • Identify, develop and maintain relationships with a variety of vendors used in events and activities.
Secondary Responsibilites
  • Participate in committee meetings reflective of job responsibilities; All-college meetings, and other meetings as needed.
  • Other duties as assigned.
Knowledge, Skills, and Abilities
  • Maintains confidentiality and uses extreme discretion at all times.
  • Interacts with associates in a professional and pleasant manner; promotes positive employee relations.
  • Effective oral and written communication skills essential.
  • Experience and working knowledge of Microsoft Office (Word, Excel, Outlook.)
  • Basic knowledge of accounting and basic math skills required.
Working Conditions
Most of the job is sedentary in an office environment. Occasional periods of light lifting may be required. Travel may be required to other college sites. Occasional outdoor work may be required for events/activities that are not in campus buildings.
Physical Effort Required
(lifting, pulling, climbing, etc.): Other physical requirements include:
  • Must be able to receive, understand, and communicate verbal and written instruction and communicate in the English language.
  • Visual acuity appropriate for a normal clerical-type position.
  • Ability to set up and participate in activities, which may include squatting, bending, and lifting.
