HR Admin Assistant- Recruiting Specialization

The HR Admin Assistant (HRAA) at Iron Hill Brewery & Restaurant will be focused on sourcing, screening, and recommending candidates for positions within the organization, processing leave of absence paperwork, and supporting the department with a variety of other administrative tasks. The HRAA supports national recruiting initiatives as well as developing local restaurant-specific strategic initiatives. They will work closely with the leadership teams across the organization including at the local and leadership levels. This role will require a balance between recruiting efforts and administrative tasks that will support the various specializations within the HR department. The ideal candidate is someone who has a passion for being a brand ambassador at Iron Hill and enjoys exciting candidates about the potential prospect of joining the Iron Hill team. The individual must be able to identify opportunities to build applicant pools, effectively administer the ATS, leave paperwork, and interview process, as well as ensure a positive employee experience. The HR Admin Assistant must be comfortable establishing trust and partnerships with the managers, identifying potential “fit” through effective interviewing and testing, and recommending improvements to strategies. All activities must be in compliance with Equal Employment Opportunity laws, HIPAA, ERISA, and other regulations, as appropriate.

Work Location: Remote with some light travel expected

Job Status: Full-time


What the role focuses on:

  • Recruiting-
    • Lead recruiting efforts including attending job fairs, open houses, new location openings, supporting social media campaigns, etc. with a focus on hard-to-fill positions
    • Assist with management of ATS including posting Reqs update all job postings in various forms of media including internet/intranet sites, colleges, social networks, community boards and staffing partners.
    • Recruit and perform talent acquisition activities such as resume & phone screens, candidate interviews, recommend final selection of applicants and close qualified candidates.
    • Create offer letters, maintain applicant tracking system, recruiting reports and other staffing administration functions as needed.
    • Arrange pre-employment testing, background, MVR reports, & reference screenings.
    • Consult with leaders, hiring managers and human resources team on position descriptions, Career Site branding, requisition creation, and sourcing strategies.
    • Research and recommend new sources for active and passive candidate recruiting.
    • Continuously develop networks/partnerships to actively build database/pipeline of candidates and the ATS company brand.
    • Communicate with managers and employees regularly to promote ATS referral program and internal opportunities.
    • Respond timely to internal and external applicant situations, and applicant requests as required.
    • Conduct regular follow-up with managers to determine the effectiveness of recruiting efforts.
    • Create dynamic recruiting content that will be used internally and externally
  • Leave and HR Administration-
    • Process all leave paperwork for leaves including, but not limited to, FMLA administration, STD/LTD, Workers Comp, ADA, Personal, and USERRA
    • Track all leaves appropriately and follow up with employees to ensure all return-to-work dates are adhered to.
    • Follow the process and partner with HR Generalist for ADAAA accommodation requests
    • Manage leave in HCM system
    • Run monthly compliance reports
    • Support specialized Centers of Excellence within the department with a variety of admin tasks as needed

Skills And Experience

  • 1-3 years of recruiting and/or HR experience
  • Strongly prefer an Associate degree, with a focus in human resources or a business-related field
  • Strongly prefer a candidate with knowledge of the restaurant business
  • Strong knowledge of HR laws and regulations required
  • Strongly prefer a person who is bilingual in Spanish
  • Must be proficient in the Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Calendar

Work Environment

While performing the duties of this job, the employee would work:

  • General office environment: Works generally at a desk in a well-lighted, air-conditioned cubicle/office, with moderate noise levels.
    • Employees must be able to maintain a work environment that is reflective of professional office conditions
  • Long-distance or air travel as needed – not to exceed 25% travel.
  • Periods of stress may occur.
