Position Overview

High Peaks Hospice is seeking a highly organized, detail-oriented, and mission-driven individual to fill the role of
Hospice Administrative Assistant. The incumbent will provide a variety of administrative duties in support of our hospice team and patients, including answering phones on weekdays from 8:00 am to 4:00 pm, assisting with patient record management, processing daily mail, and scheduling meetings. Familiarity with our large geographic service area and effective multitasking skills are preferred. We are primarily seeking a full-time candidate but will consider part-time for the right people. High Peaks Hospice offers opportunities for growth and advancement.

Key Areas of Responsibility

  • Develop a deep understanding of High Peaks Hospice’s mission and goals to effectively communicate with members of the community and other healthcare providers.
  • Properly handling incoming calls from 8:00 am to 4:00 pm on weekdays. Calls can include requests from patients, verification of staff visits, new referrals, and vendor connections.
  • Manage and maintain patient records in accordance with regulatory standards and agency policies.
  • Processing daily mail, receiving orders and arranging mail for delivery to other offices.
  • Maintain schedules for physical room reservations, as well as online meeting reservations, for staff and support groups.
  • Assist with the coordination of patient care services, including equipment and supplies, as directed by the hospice managers.
  • Provide support for hospice fundraising and marketing initiatives as directed.
  • Maintain a safe and clean environment for patients and staff.
  • Actively participate in regular hospice training.
  • Other duties and responsibilities as assigned.

Qualifications & Skills

  • 2 or more years of experience in an administrative support role, preferably in a healthcare setting.
  • Excellent organization and communication skills.
  • Proficiency with office suite software (Microsoft or Google).
  • Ability to quickly learn new software (electronic medical record system and policy system).
  • Ability to work independently, prioritize tasks, and juggle multiple phone lines effectively.
  • Compassionate, patient, and empathetic nature.
  • Outstanding communicator that can calmly work with people facing charged situations.
  • Valid driver's license and reliable transportation.
