Job Description Summary
This role will be responsible for the preparation, review and submission of sponsored program proposals for submission to sponsors. Will function as a resource for sponsored program guidelines, policies and procedures. Support with preparation for budget meetings, and provide financial monitoring and reporting for sponsored programs including foundations, federal and other agencies.

This position is contingent upon favorable funding.

Provide overall stewardship for administration and finance of Sponsored Research Programs from pre-award to post-award (includes funds both internal and external to Penn) for Cardiovascular Division and Penn Cardiovascular Institute under supervision. Support Grant Managers and PIs with pre-award submission (preparation/submission RPPRs, prepare Other Support pages, etc.) and post-award management of federal grants and industry awards (clinical trial invoicing, setting up RBNs, review accounts for the study related patient expenses and follow up with the sponsor regularly regarding invoice payments etc.). Exercise responsibility for issues of finance and reporting, compliance, administration, procurement services, and maintenance in support of sponsored research. Provide technical, logistical, and administrative support to PIs and other research personnel on grant proposal submissions to a diverse sponsor portfolio. Ensures proposals are in accordance with University and Sponsored policies, while working on multiple projects simultaneously. Work with Grants Manager to set-up subcontracts including set-up & communication with external sites, internal forms to Penn ORS, and creating PO/invoicing on PO. Support Division and CVI with Federal disclosures (FCOI) process. Handle post-award activities (e.g., subcontract invoicing, reconciliation, PI monthly reporting, close-outs, etc.) and payroll as needed. The Grants Coordinator will support service center activity under Penn CVI by working in iLAB system to invoice for services, tracking payments, and conduct monthly reporting. Other services provided by programs in Penn CVI may include monthly invoicing and tracking via excel, and generating journals to cover payments for services. Other day to day duties include Procard reconciliation, processing Concur expense report, and PO and Non-PO responsibilities.

Qualifications

Bachelor of Science and 2 to 3 years of experience or equivalent combination of education and experience is required. Experience in supporting pre and post award management for federal and non-federal awards and strong financial background (accounts payable activity, financial reporting, and reconciliation).

Must have strong financial background. Trained on BEN financial systems, PennERA Proposal Development system, and Business Objects desirable. Detail oriented, self-starter, capable of working with faculty and team player.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
