EBCRS Fiscal Operations Administrator

The Opportunity

Founded in 1974, East Bay Church of Religious Science is a Center for Spiritual Living located in Oakland, CA. Our center membership includes 145 active members and 30 professional Religious Science Practitioners who are committed to spiritual practice, spiritual activism, and the spiritual transformation of the entire planet. One way we contribute to a world that works for everyone is through service. EBCRS has several thriving sacred services and Professional, Volunteer and Practitioner-led ministries serving congregants, their families and communities throughout Oakland, the Bay Area and internationally. EBCRS holds sacred service in high value and a multitude of opportunities are offered for engagement, upliftment a couple of them. We have several buildings, parking, and a beautiful garden at 4103 Telegraph Avenue. We hold events at different times throughout the week, with a Sunday Service at 10:30, followed by lunch, then usually hold workshops into the evening.

We are a progressive and ethnically diverse congregation, with a reputation as a very loving community. 87% of our congregation is female. 77% of our congregation is over the age of 50. We are embarking on growing our Youth and Family Ministry. To support the successful operations of our spiritual community, we are seeking a tech-loving, detail-oriented, and highly trustworthy Fiscal Operations Administrator for our Oakland church.

The ideal candidate recognizes that we need accurate, thorough, consistent, detailed operations as a foundation for our church to rely upon. The ideal candidate acts to support our congregation’s productivity, collaboration, learning, and growth by ensuring our environment and our events run smoothly. A natural multi-tasker who is good at problem solving, details, technology and follow through will thrive in this role. This person values and is excited by details, routine tasks, and organizing whatever comes their way. The position reports to the Finance Committee and in particular the treasurer.

Core Responsibilities

Finance

  • Banking: Be an authorized signer with several local banks (along with our Board President and Treasurer), manage digital deposits and online transfers, with occasional in-person banking.
  • Online Accounts: Serve as the main point of contact and hold the “Master Admin” account for Paypal, Venmo, Square, QGive, the Small Business Administration, government, insurance, and other applications and services.
  • Bookstore: Calculate and pay sales tax, track Square sales.
  • Facility rentals: Hold deposits and process.
  • Fundraising: manage online & in-person giving processes; Ensure gift acknowledgement, provide operational support for campaigns, allocate to correct funds in accounting software, ensure restricted funds are tracked accurately.
  • Bi-monthly payroll: set up employees and contractors, run payroll on the 15th and last day of the month, ensure the payroll provider is in compliance with local, state and national requirements for reporting, calculations & payments.
  • With the Treasurer and Finance Consultants, manage:Accounts payable

Office Coordination & Culture -

Ensure a comfortable and well-running church environment to support the work of staff, volunteers, community and visitors.

  • Serve as a welcoming first point of contact on the phone, via email, by mail, or in our building; assist or refer to other people or resources as appropriate.
  • Works with Chief Operations Officer to provide administrative and logistical support to ensure the smooth operations of our building and other environments where we meet or gather.
  • Serve as the main point of contact and holding the “Master Admin” login on accounts (such as our password manager Dashlane, GSuite, utility accounts, government filings, website software, and more).
  • Work with Chief Operations Officer to coordinate office technology needs and troubleshoot with staff and members to maintain functionality and access.
  • Maintain organized and user-friendly systems to support an efficient Church (e.g., process incoming mail and packages; restocking supplies
  • Attend to the physical environment to ensure welcoming & comfortable space (water plants; adjust decor; set lighting; ensure utilities are paid and adequate; etc.).

Who We Are Looking For

Ideal Qualifications

  • 2+ years of administrative and/or office coordination and/or logistics experience in a full time role or meaningful internships.
  • Experience in detail-oriented roles requiring excellent technology and organizational skills.
  • Experience with documentation and maintaining digital filing systems like GoogleDrive.
  • Experience developing efficient processes that allow for the successful functioning of day-to-day operations and events online and in person.
  • Experience in trusted role: ability to work independently, with discretion and discernment, in decision-making for sensitive areas (such as banking and human resources) but also to correctly determine when to consult with others.

The Position

Fiscal Operations Administrator is a part-time position $1,500 per month, for 8 hours per week, for a trial period of 6 months with the possibility of extension. This position will be hybrid: based in EBCR’s office in Oakland, California but with opportunities to work from home. All EBCRS staff are required to be vaccinated against Covid-19, with limited exceptions for medical or religious reasons.
