SUMMARY:

Under direct supervision of Financial Aid Director, the incumbent will relay and resolve telephone and walk-in inquiries. Perform a wide variety of office support, secretarial and receptionist duties for assigned area. Compose letters and correspondence. Schedule calendar, meetings, and answer inquiries concerning activities and operation of department. Make travel arrangements. Create, maintain, and process records and forms. Perform data entry on a personal computer using various software programs. Perform a wide variety of typing assignments that are sometimes confidential in nature. Perform simple to moderately complex mathematical calculations. Demonstrate excellent customer service skills.

Qualifications (Required and Preferred)

MINIMUM EDUCATIONAL AND WORK REQUIREMENTS (MINIMUM QUALIFICATIONS):
High School Diploma or High School Equivalency and two (2) years directly related full-time work experience.

Part-time work experience will be pro-rated. The total pro-rated amount must equal the minimum number of years listed.

PREFERENCES:
Associates degree. Previous customer service experience. Bilingual-Spanish.

DUTIES AND RESPONSIBILITIES:

The incumbent will:

  • Excellent customer service is a must in this position.
  • Answer incoming telephone calls in a fast-paced work environment while using your computer to enter student's information.
  • Experienced with and proficient in computer use.
  • Familiar with Microsoft Office Products.
  • Compose letters and correspondence.
  • Answer, relay, and/or resolve telephone and walk-in inquiries.
  • Schedule calendar, meetings, and answer inquiries concerning activities and operation of department.
  • Make travel arrangements.
  • Create, maintain, and process records and forms.
  • Perform a wide variety of typing assignments that are confidential in nature.
  • Other job related duties as required.

KNOWLEDGE:

  • Knowledge of customer courtesy.
  • Knowledge of relevant equipment, policies, procedures, and methods including computers and applicable software applications such as word processing, spreadsheets, and databases.

SKILLS:
  • Must have excellent attention for detail.
  • Effective contemporary customer service and receptionist skills.
  • Effective oral and written communication skills

ABILITIES:
  • Ability to communicate effectively, verbally and in writing.
  • Ability to read, write, and understand verbal and written instructions, short correspondence and memos.
  • Ability to multitask on a personal computer while conducting telephone conversations.
  • Ability to interact with students, faculty, staff, and customers of the college,
  • Ability to exercise good judgment and maintain confidentiality regarding critical and sensitive information, records, and reports.
  • Ability to plan, organize and prioritize work in order to meet schedules and timelines.

PHYSICAL EFFORT:
Light physical activity is required with occasional lifting of objects up to 15 pounds. Position requires sitting for long periods. A considerable amount of data entry is required so keyboard manipulation, typing speed, and accuracy is mandatory.

WORKING CONDITIONS:
Work is normally performed in an interior/office work environment.

Wages for 16-week semesters are paid evenly over four months, and eight-week semesters are paid evenly over two months, with the first deposit occurring on the last working day of the first full month of the semester.
