Executive Assistant / Office Admin – ISPN, LLC
Employment type: Full-time
Compensation (annual): $35k-$45k / year
Location: Lenexa, KS
Schedule:* Monday – Friday (In-Office)*

ISPN is looking to expand its team with the addition of an Executive Assistant / Office Admin position. The function of EA/OA will support the leadership team as well as the day-to-day tasks of the local Lenexa office. The ideal candidate is highly organized, comfortable working on a computer, has the ability to work independently and must be a self-starter. This individual thrives in a fast-paced professional environment, is very detail oriented and proficient in Microsoft Excel. This person enjoys variety in their work and would be excited to take on special projects that are cross-departmental.

Responsibilities include providing administrative / organizational support for Senior Level and Business Development/Sales team members by maintaining schedules, booking travel, coordinating meetings & conferences and coordinating direct mailings. Additionally, the position would be responsible for general office management, basic AP/AR and coordinating employee engagement activities. Independent judgment is required to plan, prioritize, and organize a diversified workload.

Key duties will include (but are not limited to):

  • Provide administrative support to leadership as necessary, including scheduling group meetings, maintaining calendars, doing project-based research, and creating reports
  • Work with other departments and handle confidential and non-routine information
  • Schedule and organize complex activities such as meetings, travel, conferences, and other sales department activities
  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly
  • Maintain expenses and send to finance: travel reimbursement, documenting corporate credit card expenses
  • Monitor and order inventory for office and break room
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Receive and sort incoming mail and deliveries and manage outgoing mail
  • Basic AP/AR management using QuickBooks
  • Work independently and within a team on special nonrecurring and ongoing projects
  • Perform other ad-hoc related duties as assigned

Qualifications / Requirements:

  • High school diploma required, Bachelor of Science degree from accredited university preferred
  • 2+ years of work experience in an executive admin/office management role
  • Strong written and verbal communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Strong computer / Microsoft Office skills: 3+ years
  • Excellent time management skills with a proven ability to meet deadlines
  • Comfortable in a fast-paced environment
  • Problem-solving and basic troubleshooting skills
  • Ability to manage confidential information
  • Excellent judgement and analytical skills
  • Ability to learn new programs and take on additional responsibilities as needed
  • Self-starter and ability to execute on expectations w/ minimal oversight
  • Reliable and punctual
