Reporting to the President of IMG, Neurosciences, performs a wide range of administrative tasks designed to facilitate and expedite the accomplishment of the responsibilities of the President IMG, Neurosciences (President). Maintains and oversees corporate records in compliance with applicable regulations.

1. Assists President in organizing day-to-day administrative activities and establishing priorities. Maintains records of decisions made and/or actions taken; initiates follow-up with concerned parties; prepares summaries and reports for review. Anticipates key corporate events; integrates appropriate time and planning required to deliver positive outcomes. Screens calls and visitors, arranges meetings and conferences, completes travel arrangements and maintains President’s personal calendar.

2. Coordinates details related to all executive administrative functions; prepares meeting agendas, supporting documentation, presentation materials, etc. Prepares and compiles or delegates preparation of materials, as appropriate, to other administrative assistants.

3. Attends and provides support to President for all meetings; records minutes and ensures that requests/comments are documented and followed through to completion as needed.

4. Maintains and oversees corporate records in compliance with applicable regulations; maintains corporate files and documents; oversees management of departmental Administrative Policies and Procedure documents; maintains central file of corporate contracts. Plans, organizes and implements office practices and procedures to set-up and maintain filing and record keeping systems.

5. Serves as a resource to other departments/divisions to obtain and relay information and to resolve problems; responds to inquiries regarding NCH policies, procedures and operations.

6. Adheres to all Northwest Community Hospital standards, policies and procedures.

Qualifications


1. Bachelor’s degree in Business Administration or equivalent experience in a related field required.

2. Minimum of 2 years of progressively responsible executive secretarial experience including some experience with corporate board support.

3. High level of interpersonal skills necessary to support communication with executives, physicians, legislators, corporate and community leaders and various levels of hospital staff.

4. The analytical skills necessary to independently formulate and execute appropriate decisions.

5. Superior secretarial skills including proficiency in various computer software applications, telecommunications devices and operating electronic office management systems.

6. Ability to take and transcribe shorthand or an equivalent ability to record details of meetings and day-to-day messages for the President with precision and accuracy.

7. Demonstrated organizational skills and attention to detail to assist the President in organizing and prioritizing activities and to independently coordinate and follow through on details related to corporate activities.

8. The ability to maintain a very high level of initiative, tact, judgment and confidentiality.

PHYSICAL REQUIREMENTS:
1. Very little physical effort required. Rarely required to walk or stand for prolonged periods. May require occasional lifting or moving light weight material, or rarely, lifting or moving of average weight material
