We are excited to be part of another significant redevelopment project. As part of JFK Millennium Partners (“JMP”), the preferred partner of Port Authority of New York and New Jersey, Vantage has been selected to design, build, finance, operate, and maintain Terminal 6 and 7 at John F. Kennedy (“JFK”) International Airport. For this project, Vantage has partnered with American Triple I (ATI), a 100% minority and woman owned investor and developer, and RXR Realty, a leading New York commercial real estate development firm, with AECOM Hunt as the design-build team. The project is to proceed in two phases of construction, with the first phase to include the development of the new Terminal 6 headhouse and departures area on a vacant site adjacent to the existing Terminal 7. Once that has been completed, JMP will demolish the existing Terminal 7 and construct an additional five gates, after which, JMP would then manage, operate and maintain the new facilities.

Executive Assistant

Job Summary
Reporting to the CEO, JFK Terminal 6 & 7 Redevelopment Project, the Executive Assistant will provide administrative assistance to the C-Suite. This role will work collaboratively with the team to filter and attend to day-to-day functions so the executive can focus on the high-level leadership and strategy development and implementation. This role serves as the eyes and ears for the CEO, connecting organizations, projects, and critical business information to the CEO and executive team, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the priorities of the project. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team and the Board of Directors.
Responsibilities:
Major Duties and Responsibilities

Responsibilities:

  • Complete a broad variety of administrative tasks that facilitate the CEO and Executive team’s ability to lead the organization, including:
    • designing and producing complex documents, reports and presentations;
    • collecting and preparing information for meetings with outside parties;
    • composing correspondence; and
    • completing expense reports
  • Act as the point of contact among executives and stakeholders including the Steering Committee/Audit and Finance Committee/Human Resource Committee/Board of Directors
  • Manage information flow in a timely and accurate manner to ensure CEO and Executive team are well informed of upcoming commitments and responsibilities
  • Oversee, coordinate and produce Steering Committee/Audit and Finance Committee/Human Resource Committee/Board related documents, including:
    • Consolidation of documents into a package of materials that is uploaded and distributed to Board of Directors and Executive team members; and
    • Production and maintenance of the Board calendar
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements for all senior leadership
  • Act as an office manager by keeping up with office supply inventory
  • Act as point person for Executive Department accounts payable, equipment maintenance and IT.
  • Maintain office efficiency by maintaining office systems, layouts, and equipment procurement.
  • Partner with Human Resources on new employee on-boarding and orientation.
  • Take minutes during CEO meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Special projects commensurate with the role
  • Ensure individuals have appropriate security clearances
  • Event planning as needed
  • Act as a gate-keeper for the management team
  • Supply backup support to the Vantage Midtown office as required
  • Other duties and responsibilities commensurate with the position may be assigned


Education and qualifications

  • A certificate or diploma in Communications, Business Administration or a related field.
  • At least 5 years related work experience in an executive assistant role.
  • Proven track record of success in supporting senior leadership.
  • Ability to collaborate with all levels of the organization and key internal and external stakeholders
  • Organization and planning skills crucial for multi-tasking while prioritizing and executing tasks.
  • Ability to diffuse and manage situations in high pressure situations.
  • Strong problem-solving skills to independently work with clients, vendors, staff, and other stakeholders.
  • Strong business and financial acumen.
  • Special Working Conditions: This position may be required to work nights, Saturdays, Sundays and holidays.
Qualifications:

You have strong project management and organizational experience, and your professional experience is supplemented by a relevant degree from an accredited university. This role suits a collaborative team player who enjoys working independently, is self-motivated, enthusiastic and comfortable working with a diverse set of stakeholders. You are calm under pressure, and deftly apply your practical experience, technical expertise, and innovative ideas to the success of the project and the support of the senior leadership.
