Executive Secretary II - Anti Money Laundering (AML)
The Executive Secretary role will be responsible for managing a wide range of administrative and executive support tasks.

Position Responsibilities:

  • Perform general administrative and executive support tasks for AML Compliance.
  • Support other Financial Intelligence Department Executives as needed.
  • Coordinate events and meetings for the department including invitees from a variety of time zones.
  • Online Sharepoint file organization & document management.
  • Make travel arrangements and subsequent expense reporting.
  • Gather agenda items, create and distribute.
  • Maintain bank-wide AML Compliance training statistics.
  • Gather data and create monthly/quarterly reporting for AML Compliance (SAR reporting, corporate risk committees, dashboards).
  • Take minutes as needed for quarterly AML meetings.
  • Gather data and format information needed to create a variety of presentations.
  • Gather relevant information to assist officers with problem solving including contact or follow-up with other departments or banking centers.
  • Create and maintain organizational charts.
  • Prepare and distribute correspondence (memos, letters, and reports) and maintain contact lists.
  • Maintain order and verify receipt of office supplies.
  • Other administrative duties as assigned such as scanning, invoicing, etc.
  • Interact constructively with other senior managers and their administrative support.
  • Receive and disseminate information to internal and external sources (in person, by telephone or e-mail).
  • Greet regulators, auditors and vendor visitors and setup their physical and network access.
  • Screen incoming phone calls, frequently intercepting and resolving issues. Evaluate necessity of contact with senior vice president and his/her direct reports and handle as appropriate.
  • Assist other AML Compliance teams as needed.
  • Organize, manage and maintain manager's time and calendar. Use initiative and judgment to make decisions regarding time and make decisions in manager's absence.

Technology

  • Provide support for technology, contact vendor for copier issues and assist with hardware errors.
  • Order equipment as needed for replacement, upgrades or new hires.
  • Interface with IS to provide support to executive and officers.
  • Schedule and operate Microsoft TEAMS meetings as needed.
  • Position is highly dependent on Microsoft Excel skills.

Position Qualifications
  • High school diploma or general education diploma (GED)
  • 4 years of experience utilizing Microsoft Office Suite including Word, PowerPoint, and Excel
  • 4 years of experience working with multiple priorities and deadlines
  • 2 years of secretarial/administrative experience supporting a senior level executive preferred or similar experience
