Job Description

The Executive Assistant is responsible for providing secretarial and clerical support to Executive and Corporate Officers working in the Downtown Boise Branch. He or she prepares detailed reports, financial spreads, and charts and statistical data. The Executive Assistant tracks goal progress for officers monthly, quarterly and annually. He or she prepares and distributes reports as needed or assigned. He or she organizes and schedules various types of meetings and types and assembles letters, memos, and reports. The Executive Assistant answers questions and directs telephone calls and visitors. He or she records and distributes minutes from committee and management meeting and performs and oversees specific projects and programs as assigned.


Qualifications

  • Must be at least 18 years old
  • Bachelor’s degree or technical secretarial training preferred
  • At least two years of secretarial/office assistant and/or banking experience required
  • Professional appearance, dress, and attitude
  • Knowledge of word processing and spreadsheet applications (i.e., Microsoft Office)
  • Excellent organizational skills required
  • Must possess above average written and verbal communication skills


Responsibilities

  • Receives and screens visitors and telephone calls and either notifies staff members or records and relays messages. Conducts visitors to proper offices and announces them
  • Schedules appointments and notifies meeting participants. Organizes WebEx calls for pipeline calls, regional and management meetings and team calls
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel related meetings and accompanies supervisor as needed
  • Types and assembles a variety of documents including memos, letters, and reports
  • Composes and edits correspondence for corporate staff
  • Files correspondence, memos, records, and reports. Maintains files
  • Sorts and distributes incoming mail and dispatch envelopes to appropriate corporate personnel
  • Responsible for approval of timesheets and associated recordkeeping for all corporate administrative employees in assigned department
  • Prepares detailed reports and compiles information and reports for distribution to BOD, Executive Officers and Bank management
  • Prepares detailed financial spreads and associated charts of information
  • Prepares month reports and presentations for Executive Officers and Bank Management
  • Tracks pipeline reports and progress towards goals for calling officers and prepares associated summary reports
  • Assist with branch budget entry annually and then reviews and tracks budget entries for all branch offices monthly. Reports concerns or discrepancies to management
  • Attends meetings as assigned and prepares meeting minutes from notes and submits to management for revision and final approval
  • Records vacation information on a central calendar for all corporate employees, manager and senior lending employees
  • Prepares a travel file for each employee/director and tracks all expenses that need to be reported annually on a form 1099. Provides such information to chief financial officer in December of each year
  • Prepares and sends monthly branch manager reports
  • Prints and disseminates Senior Loan Packages weekly
  • Assists Regional Credit Officer with monitoring of regional pending items. Works with area staff to remove items as necessary
  • Resolves customer requests, complaints, and problems or refers them appropriately
  • Provides customers with account information and transfers funds as requested
  • Oversees the compilation and publishing of the D.L. Evans Bank monthly newsletter
  • Assists other corporate officers and area personnel as needed
  • Maintains the professional reputation of D.L. Evans Bank
  • Promotes D.L. Evans Bank at all times
  • Serves as a representative for D.L. Evans Bank in the community
  • Maintains confidentiality in all aspects of position especially when assisting with personnel matters or other related information
  • Completes special projects as assigned and attends meetings as required
