Position Overview

The Principal of a top franchise with locations in all 50 states is searching for an Austin-based Executive Assistant (EA) to help him focus on his highest leverage work. This role is challenging and fast-paced - we move quickly and we need this person to be in step with us, managing multiple work streams and staying organized as priorities change. The potential for visibility and access in this role is high - this EA will be the “right hand person” to the Principal and a part of the Leadership Team.

The ideal EA is a project manager, critical thinker, and strategic asset; they analyze and anticipate the Principal’s needs to avoid pitfalls and are fiercely committed to helping his businesses run with ease and efficiency. The EA is confident in asking clarifying questions, making clear recommendations, and pushing back when it is in the best interest of the Principal and Leadership Team. We’re looking for an innovative, self-starter who finds great satisfaction in being busy and productive; someone who wants to work with hungry, humble, and people-smart team players.

EXECUTIVE ASSISTANT RESPONSIBILITIES

Email & Calendar Management

  • Monitor and manage the Principal’s inbox and information flow. Quickly assess how to escalate the situation, delegate, or answer queries/questions independently. Thoughtfully prepare first draft responses as appropriate to emails and requests, on behalf of the Principal
  • Manage the Principal’s calendar. Create detailed calendar holds, prep blocks, and incorporate travel time, when appropriate. Prepare him to go into engagements with the background necessary on the meeting and who is attending
  • Manage the Principal’s daily, monthly, and quarterly meetings through a deep understanding of his priorities. Notice when his schedule is not working and create structures that allow him to thrive

Project Management & Meeting Coordination

  • Serve as an active member of the Leadership Team and attend meetings to capture, share, and track action items. Synthesize meeting information, outcomes, and action items so they may be shared with others who don’t have full context
  • Act as a project manager for activities across the business: track action items, follow up with stakeholders, and ensure crucial tasks are completed on time
  • Collect content and publish agendas for key meetings
  • Coordinate and support leadership meetings, virtual team meetings, quarterly advisory council meetings, and board of directors’ meetings
  • Be where the Principal cannot be. Attend meetings if he cannot be present and take meeting notes on his behalf

Travel Management

  • Research and coordinate the Principal’s business and some individual personal travel, including RSVPs, flight details, accommodations, transportation, meals/reservations, itineraries, meeting rooms, etc.
  • Travel with the Principal twice a year for leadership conferences to make sure everything is set up prior to arrival and to assist with event execution

Other

  • Prepare correspondence, meeting notes, and slide decks, as requested
  • Proofread communications and presentations for content and grammar
  • Light administrative support tasks for other Leadership Team members
  • Manage expenses & reimbursements for corporate purchase cards
  • Learn about franchise programs, procedures, and more to effectively act as a liaison between the Leadership team and employees, vendors, and other team members when questions arise
  • Other duties as assigned

WHAT YOU BRING TO THE ROLE

  • 3-5 years of experience as an Executive Assistant, Operations Manager, project management, or similar role in a fast-paced environment
  • You can work 4-5 days per week in-person out of our Georgetown, TX office (north of Austin)
  • You sweat the details: You are a natural organizer and are good at staying on top of things others may miss. You will be tasked with managing many details and helping the Principal with his various businesses, which have different goals and competing priorities
  • Proactivity: You have a future-oriented mindset that allows you to see the small steps in a large process, and anticipates the needs, time, and resources to complete that process. You proactively remove obstacles for the Principal so that he can focus on his highest leverage work

  • Experience in exercising discretion, and diplomacy in handling all matters, information, and relationships (including confidential or sensitive information)
  • High proficiency in Microsoft Office Suite (Word, SharePoint, OneDrive), Zoom, Slack, and other tech tools

Salary & Benefits

  • Salary Range: $85-95K annually plus bonus opportunities
  • 15 days of PTO plus 5 personal days per year
