Position Summary: This position is responsible for providing executive support by managing multiple complex calendars, organizing and maintaining high-level leasing data, working collaboratively and seamlessly with the Fourteen Foods Real Estate, Facilities and Legal teams and assisting with administrative matters of a confidential nature. This role will provide administrative assistance to the Vice President of Real Estate and Vice President of Facilities as well as the General Counsel of Fourteen Foods.

Essential Functions:
  • Support the day-to-day needs of the Vice President of Real Estate, Vice President of Facilities and General Counsel including calendar, contacts management, meeting coordination and document support
  • Organizing, tracking and “owning” extensive and complex lease administration
  • Prepare and submit expense reports
  • Scheduling/coordinating meetings and arranging appointments
  • Scheduling/coordinating travel and making travel arrangements
  • Managing the time/interaction executives have with internal and external contacts
  • Editing, proofing, formatting, document design/production, form filling, and data entry
  • Collecting, recording, sorting, and filing information, handling mail, preparing routine reports, responding to inquiries, and data entry
  • Handling confidential business and personnel information
  • Collaborate with Legal and Real Estate Teams to support their work and help bridge communication and support with all departments
  • Deliver special projects upon request
Education and Experience Requirements:
  • 5+ years of experience supporting Senior level executives in a corporate environment
  • Advanced Microsoft Office Skills (Outlook, Word, Teams and Excel)
  • Strong work ethic, resourcefulness, and motivation
  • Strong organizational, communication, and interpersonal skills
  • Consistent and reliable character
  • Ability to maintain confidentiality of highly sensitive information
  • Proven track record of working independently but also acting as a successful team player
  • Ability to complete complex tasks quickly with little to no guidance and react with urgency to situations that require quick turnaround
  • Thrive in situations that require great attention to detail and managing high volumes of data
  • Ability to prioritize and handle multiple assignments at any given time
  • Ability to think on your feet and quickly adapt to changing conditions and priorities
  • Comfort interacting with senior executives
  • Ability to express ideas articulately and concisely in written and verbal communications

  • You work for the best interest of the group at all times
  • You have unwavering personal integrity and work ethic
  • You are a MN Notary and/or are eligible to become one
