Austin Industries has an outstanding opportunity for an executive assistant at our corporate headquarters in Dallas, Texas. The purpose of this position is to provide high-level administrative support to members of Sr. Management. This role will also support reporting departments of senior management as needed in tasks such as travel arrangements, general requests, and upkeep of the department office.

FUNCTIONAL AREAS OF RESPONSIBILITY

  • Organization and management of records
  • Disposition of mail and other correspondence
  • Preparation of research reports, proposals, manuals, plans, and budgets
  • Scheduling of appointments, meetings, travel arrangements, etc.
  • Manage and maintain executives’ schedules and calendars

Responsibilities:

  • Provides high-level, administrative support for Sr. Management.
  • Interfaces with key personnel throughout the company to maintain a congenial working relationship with employee-owners, outside clients, and suppliers.
  • Schedules appointments for Sr. Management for luncheons, meetings, etc.
  • Responsible for executive calendar management.
  • Coordinates arrangements for company meetings including obtaining meeting space, notifying attendees, scheduling catering, etc.
  • Conducts research to keep executives up to date on items pertinent to Austin Industries.
  • Screens visitors and callers to avoid unnecessary burdens on their manager’s time.
  • Handles travel arrangements for Sr. Management. Contacts travel agency, schedules flights, hotels and car rentals. Provides itinerary for reference.
  • Schedules the conference room for management courses; follows up to assure participant's attendance at scheduled seminars.
  • Serves as a contact/resource to provide information pertaining to various special events and employee-owner related functions.
  • Serves in an "as needed" capacity as back-up to other departments.
  • Assists in the preparation of special projects. Projects include: power point presentations, departmental budgets, manuals, or classroom materials.
  • Support timecard and general payroll support.
  • Additional duties as assigned.

Qualifications:

  • Seeking at least five years’ comparable executive support experience.
  • Background should include document control, preparation of spreadsheets, graphs and charts, desktop publishing, and presentation materials.
  • Expertise in the Microsoft Office Suite, excellent spelling and grammar, strong phone skills, and stellar organizational skills.
  • Professional, upbeat, energetic, takes initiative, dependable, and takes pride in work.
  • Must be extremely efficient, organized and resourceful.
  • Ability to work overtime as needed.
