***Employee Health Assistant 30hrs/Days

POSITION SUMMARY:



As directed, assists in maintaining and explaining the employee health function to Hospital employees; performs various related administrative/clerical and support functions in support of the Employee Health Services Department.



KEY RESPONSIBILITIES:



  • Provides reception and secretarial support for the Employee Health Department.
  • Types letters, prepares reports, meeting minutes, policy/procedure documents, and other correspondence for EH.
  • Coordinates the calendar and daily schedule for the Employee Health.
  • Schedules and arranges appointments for employees (i.e. immunizations, lab tests, pre-placement screenings, etc.).
  • Calls employees to reschedule missed office visits and/or as a reminder of future appointments, tests, etc.
  • Arranges for return-to-work clearances.
  • Explains necessary paperwork to be completed by employees and other clients.
  • Creates, edits, and maintains the Employee Health database(s) and files.
  • Processes, tracks, and maintains files of all tests, procedures, pre-placement screenings and other similar materials.
  • Reviews all employee incident reports; enters data into the injury and illness log.
  • Forwards incident reports to EH Clinician for review.
  • Checks for lost time cases related to the Accident Reporting System and obtains work schedule from department head.
  • Prioritizes and reviews incoming information.
  • Sends WC First Report to third party administrator; works as a liaison with WC third party administrators as necessary.
  • Creates individual employee Workers Compensation records.
  • Notifies recruiters and managers of any outstanding requirements as directed by the Employee Health Clinician.
  • Orders and maintains inventory of supplies and equipment. Maintains records of supply and maintenance requests.
  • Handles all incoming and outgoing mail; sorting and distribution.
  • Performs other duties as assigned.


REQUIRED KNOWLEDGE & SKILLS:



  • Possess strong customer service and interpersonal skills.
  • Ability to handle sensitive and confidential issues with tact and diplomacy.
  • Strong communication and organizational skills.
  • Microsoft Excel experience mandatory, proficiency in generating reports.
  • Ability to work independently and exercise independent judgment.


EDUCATION/EXPERIENCE/LICENSURE/TECHNICAL/OTHER:



  • Education: High school education required. Associate’s degree in business or a related field preferred. Familiarity with Medical Terminology and HIPPA Regulations.
  • Experience: Three years of administrative or physician office experience. Experience in a health care setting preferred.
  • Software/Hardware: Proficiency with Microsoft Office Products (Word, Excel, Access, PowerPoint, Project Management). Experience with Meditech.
  • Other: Workers Compensation claims experience preferred.
