Job Description

The Portland Art Museum (referred to as Museum) and the Center for an Untold Tomorrow (referred to as PAM CUT) invites applications for the position of Emergency Systems & Planning Coordinator. The Emergency Systems & Planning Coordinator is responsible for managing all aspects of the Museum’s access control, CCTV and database systems to achieve optimal performance. This role will develop and provide effective user end training to staff operating these systems. This position will report directly to the Head of Protection Services & Training.

Duties & Responsibilities

CCTV Systems

  • Maintain, update and install software and hardware related to the Portland Art Museum Security department’s security camera systems
  • Maintain and update configurations and alarms to all systems
  • Develop, maintains and updates maps, user and equipment databases
  • Develop and designs projects and installations
  • Research and purchase equipment
  • Design and provide training
  • Contract and work with vendors as needed
  • Systems and equipment include:
  • Milestone XProtect Professional digital system
    • VMS servers, Workstation clients + user management, Network switches and infrastructure, Video encoders, Cameras, Cabling, Patch panels, UPS (Uninterruptable Power Supplies)
  • Pelco/Integral analog system
    • DVR’s, Workstation clients + user management, Camera power supplies, Cameras, Punch panels, NVT units, Multiplexers, Matrix controller, Looping bay, UPS (Uninterruptable Power Supplies)
  • PAM CUT system
    • DVR, Workstation clients + user management, Cameras, Cabling, Camera power supply, UPS (Uninterruptable Power Supplies
  • Beaverton/Conservation system
    • DVR, Workstation clients + user management, Cameras, Camera power supply, UPS (Uninterruptable Power Supplies)


Access Control System

  • Maintain, update and install software and hardware related to the Portland Art Museum’s security access control systems
  • Maintains and updates configurations and alarms
  • Develops, maintains and updates maps, user and equipment databases
  • Develops and designs projects and installations
  • Research and purchase equipment
  • Design and provide training
  • Contract and work with vendors as needed
  • Systems and equipment include:
    • C-Cure 9000 server (virtual and backup physical servers), APC panels, iSTAR panels, Motion detectors, Glass break sensors, Door contacts, Card readers and related door hardware


D + Key Card Management

  • Maintain, update and install software and hardware related to the Museum Security department’s ID and Key Card systems
  • Print ID badges
  • Design ID badges
  • Configure and issue key cards
  • Purchase ID badge and key card supplies


Emergency Preparedness

  • Author, co-author, maintain and update policies and procedures related to emergency, disaster and life safety preparedness for the Portland Art Museum’s staff and buildings
  • Work with various departments to ensure that emergency and disaster management kits and supplies are adequate and up to date
  • Design and provide training and drills for Security and all Museum staff
  • Lead the monthly Safety & Emergency Response committee
  • Assist with contractor and visitor safety orientation


Facilities Backup Response

  • Cross train on Facilities systems to provide response training to Security staff
  • Work with Facilities on projects related to building systems and other infrastructure, development and maintenance


On Call Expectations

  • Respond to critical system malfunctions as needed
  • Emergency security staffing as needed


Secondary Responsibilities

  • Lead and conduct emergency drills for the whole campus
  • Support Head of Security with any leadership and management of staff as needed
  • Offer support to Building Engineer and Facilities manager during the construction phase of Rothko Pavilion
  • Performs other related duties as assigned

Supervisory Responsibilities

  • Decisions are made within prescribed operating guidelines
  • Partial budgetary preparation/compliance accountability
  • Totally accountable for control of capital/equipment assets
  • Partially accountable for long-range operational and strategic planning
  • Provide training to new and current staff members

  • Contract negotiation skills essential

Education, Formal & Informal Experience, Training Required, Certification, Etc.

  • High school diploma, GED, or equivalent combination of education and experience required
  • Technical school certification preferred but not required
  • Minimum 3 years’ experience with the operation and configuration of access control and CCTV systems required
  • 1-3 years of basic IT and Technical experience with software management and maintenance experience required
  • 1-3 years of emergency management planning experience required
  • 1-3 years of project management experience required
  • Current DPSST alarm monitor certification or must be obtained within 90 days of employment

  • This role is non-exempt/hourly
  • Budgeted compensation is within pay grade I ($28.20 min - $33.13 mid - $38.06 max), depending on experience.
  • Shift differentials, for hourly/non-exempt staff, for hours worked onsite within:
    • Evening hours (6:00pm-12:00am) will be paid an additional $1.00 per hour
    • Night hours (12:01am-6:00am) will be paid an additional $2.00 per hour
