Oakwood Village has an exciting opportunity for qualified candidates to join our University Woods (west side of Madison) senior living community Director of Rehabilitation Services. The director of rehabilitation services is responsible for the overall strategic direction, training, marketing, development, support and management of the operations of the Rehabilitation Services Department. As well as being responsible for planning, implementing and monitoring of quality, integrity, and best practice procedures and protocols, related to the disciplines of Occupational, Physical and Speech Therapy, with the assurances of compliance, excellence, and financial viability.

This position reports directly to the Executive Director and Theracore.
ESSENTIAL RESPONSIBILITIES

  • Provides leadership and support of Rehabilitation Services Departmental staff, which include Therapists, Therapy Assistants, Rehab Clinical Educator, Rehab Administrative Assistants, and Rehab Aides.
  • Plans, implements and monitors operations for quality, effectiveness, and financial viability to meet patients and residents therapeutic needs.
  • Supports the delivery of the highest standards of therapy services and utilization, through promotion of clinical programs and staff development.
  • Plans and sets appropriate department productivity and efficiency expectations.
  • Manages the strategic functions of the rehabilitation department. This includes strategic planning, implementation and evaluation, financial management, participation in facilities leadership teams, quality assurance, and code compliance.
  • Interviews applicants screened by Human Resources for open therapy staff positions with a pertinent panel, up to and including Therapists, Rehab Team Lead, Administrator, counterpart Rehab Director, and/or Rehab Clinical Educator.
  • Upholds all regulatory and quality compliance by ensuring that staff is properly licensed and trained in skilled therapy documentation and billing integrity.
  • Implements optimal staffing plans to meet patient, resident and customer expectations and needs, including those of the Accountable Care Organization.
  • Monitors customer satisfaction.
  • Assumes responsibility for the daily planning and scheduling of residents/patients, under PDPM guidelines with input from therapists. Coordinates, tracks and reports minutes and changes to the MDS team, to ensure that identification, provision of therapy, and frequency of visits are met, per the plan of care.
  • Serves as an essential part of the Campus Interdisciplinary Teams and ensures provision of therapy services to the entire campus. Schedules staff presence at meetings and events related to residents, patients and the campus continuum of care.
  • Reviews and completes payroll, reviews and approves/disapproves PTO requests, and tracks annual compliance training of direct reports.
  • Manages resident/patient therapy stay, through: utilization of clinical pathways, expectations and monitoring of the rehabilitation length of stay, and communication regarding discharge and transition to supportive services.
  • Collaborates with Colleges and Universities to ensure the success of the student therapy programs.
  • Protects patients and employees by adhering to infection control policies and protocols. Maintains a safe and clean working environment by following department procedures, rules and regulations.
  • Upholds expectation of compliance by therapy staff, Includes adherence to established written policies, procedures and forms related to therapy programming, processes, protocols, productivity requirements, and scopes of practice.
  • Reviews and audits documentation to ensure optimal reimbursement for rehabilitation services. Serves as point of contact for campus and finance for any appeals or additional documentation needs.
  • Develops and maintains rapport and communication with medical personnel, facility staff, family members/significant others/caregivers and community agencies to ensure effective exchange of information.
  • Provides representation at resident-related meetings as well as management meetings and various committees as assigned.
  • Manages levels of inventory of therapy supplies and equipment within fiscal guidelines.
  • Identifies opportunities and provides leadership in the further development/expansion of rehabilitation services and projects.
  • Provides assistance and monitoring with NHA to manage revenues and expenses within the budget guidelines of the Rehab Dept.
  • Ensures accurate and timely completion of month end billing.
  • Meets the annual goals and objectives that are consistent with the values and mission of Oakwood.
  • Maintains knowledge of current reimbursement and regulatory issues regarding rehabilitation.
  • Implements current policies and programs and, as appropriate, proposes new or revised policies and procedures with assistance of Rehab Clinical Educator and Team leads.
  • Responsible for preparing reports and statistical data as necessary (at least quarterly reports for QA). Identifies areas of opportunity for department and provides support to achieve goals. Provides representation at QA meetings for Rehab.
  • Attends regular in-services, management development programs, approved continuing educational programs, and ensures the rehab teams are current on regulatory changes and therapy environment.
  • Participates in organizational growth decisions, giving rehabilitation perspective, but keeping overall success of organization as a focus.
  • Requires flexible hours, including occasional weekend and evening coverage to meet the needs of the residents.
  • Educates and orients staff as needed to department offerings, policies, etc.

  • Working knowledge of Microsoft Office, Casamba (Preferred), and ability to learn our EMR (PointClickCare).
  • Strong knowledge base and experience with Medicare, HMO’s and private insurance related to therapy provision in a Life Plan Community.
  • Strong knowledge or reimbursement sources: Medicare A, Medicare B, Medicaid, Managed Care, and private insurance.

EXPERIENCE, EDUCATION, AND/OR TRAINING

  • WI Licensed professional in Physical or Occupational Therapy, or Speech Pathology, with experience in an acute, post-acute, transitional and/or outpatient setting.
  • Minimum of two years of experience in a managerial or supervisory position, 5 years as therapist.
  • Long term care and outpatient experience required.
  • Experience with budget management or accountability to a departmental budget (preferred).
