Purpose
To provide high-level administrative support for the management of complex, multi-million-dollar projects and executive support for the principal investigators.
Responsibilities
  • Administrative support: Responsible for coordinating the daily operations of the climate research program. Manage calendar, provide financial reports, and manage an organization plan to assist members of the research group to work as a cohesive unit on projects. Prepare, monitor, and track expenditures within and across multiple budgets, including processing and/or coordinating purchases.
  • Digital document management: Keep structured digital records, edit documents, and help develop initial drafts on proposals. Sound understanding of UTBox, SharePoint, and Google Docs.
  • Proposal assistance: Coordinate with faculty on the preparation of proposal materials including assistance with budget preparation.
  • Event and travel coordination: Organize annual meetings, business luncheons, and other events as assigned. Coordinate travel arrangements for faculty and visitors including approval for travel, registration, reservations, and reimbursements.
  • Research coordination: Work with faculty to coordinate research projects and expenditures. Work with the ADR team to alert faculty about allowability and allocability of expenses on various grant-funded projects.
  • Other related functions as assigned.
Required Qualifications
Bachelor’s degree with three years of work experience. Excellent organizational and planning skills. Excellent written and verbal communication skills. Ability to problem solve, think critically, and consistently exercise high degree of discretionary effort. Ability to work effectively with groups and in a shared space environment with frequent interruptions. In-depth knowledge of Microsoft Office Suite, Box, Sharepoint, and Google Docs.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Master's degree and additional years of work experience. Experience performing complex administrative functions. Experience working in a research environment writing reports. Experience working with community partners in data collection and data co-creation efforts. Experience managing, developing and maintaining a website and assisting with digital media updates. Experience with the governmental accounting, including but not limited to travel, and budget policies and procedures.
Salary Range
$55,000 + depending on qualifications
