CLIENT CARE OFFICE MANAGER

REQUIREMENTS

1. Candidates for this role must demonstrate experience working with and for Black/African American clients and other ethnic individuals within a broad range of socioeconomic and marginalized communities/identities.

2. Only candidates with experience managing schedules, client relations and customer service, front office responsibilities, and proficiency in a variety of computer applications (specifically Microsoft Office, Word, Excel, PowerPoint, and Outlook) should apply.

3. This role is hybrid with a required 2-3 days in person at our Capitol Hill, Seattle office (~10am –4pm). Available for at least 20 hours per week

SUMMARY OF POSITION
This position manages client services and practice administrative projects, working collaborative with the Operations Manager, Clinical Manager, and CEO. The Client Care Office Manager will be responsible for overlapping tasks related to client communication, support and onboarding, operations and project management, and client communications. This is a highly engaging role that will work closely with the
CEO, Clinical Manager, and Client Care Manager to contribute to the flow of our growing practice. This role can be transitioned to full-time based on performance and the growth of the practice.

CLIENT CARE OFFICE MANAGER ROLE

  • Client Relationship Management: answering phone, emailing and replies, care coordination with therapists and team. o Checking in and greeting clients o Scheduling and tracking sessions o Answering client questions about services
  • Client intake process – including 20-minute consultations and new client onboarding: sending and tracking completion for paperwork and documentation, and other related tasks.
  • Scheduling: coordinating appointments, rescheduling, cancellations, etc.
  • Communication: current, new and prospective clients, support group coordination, drafting newsletters related to services and related tasks.
  • Assist with development for workbooks and other assignments/projects.
  • Participates in weekly 90-min consultation and team meetings.

SKILLS AND QUALIFICATIONS

  • Ability to work effectively and collaboratively with diverse populations with cultural humility and awareness to mental health stigmas and barriers in communities of color. We are prioritizing applicants who have experience working with Black/African American populations and self- identifies as a person of color.
  • Exceptional client service skills – empathy, compassion, analysis and assessment, judgment, problem solving, accuracy and organization, recordkeeping and attention to detail.
  • Experience with email, text messaging and phone service.
  • Exceptional oral, written, and interpersonal communication. Organized (people and task oriented) with exceptional listening skills.
  • Experience using various computer applications – Microsoft Office (especially PowerPoint and Outlook), SharePoint, and social media platforms, WordPress and Constant Contact a plus.
  • The ideal candidate must have access to a computer, phone, and stable Wi-Fi, for any work done remotely.
  • Transportation to/from work and for occasional work errands.

EDUCATION/EXPERIENCE

  • 3-5 years in healthcare related customer service role.
