      Position Summary
      Full-time temporary position available on or after January 9, 2023 and ending on or before January 8, 2024 in Credential Office. Appointment will be made for one year from date of hire with the possibility of reappointment based on budget, department needs, and job performance.

      Under direct supervision of the Dean of the College of Education, Kinesiology and Social Work, the Credential Analyst will perform credential services functions such as reviewing, analyzing, evaluating and processing applications to credential programs and process applications for public school teaching and service credentials.

      Job Duties

      Duties include but are not limited to:
      • Schedule Student Initial Advising Appointments for Multiple Subject (MSCP), Single Subject (SSCP), and Education Specialist (ESCP) Credential Programs.
      • Conduct initial advising sessions of prospective credential students for MSCP/SSCP/ESCP in group and individual settings.
      • Attend university’s New Student Orientations held throughout the year to advise prospective students.
      • Present initial advising information for Credential Programs at annual Student to Teacher Conference.
      • Present credential information at ESCP’s Open House.
      • Assist students and review credential application packets for completeness and accuracy when submitted.
      • Review, analyze, and evaluate transcripts and other documents included in students’ credential application for initial admission to the MSCP, SSCP, and ESCP.
      • Create tracking sheets for new students applying to MSCP, SSCP, and ESCP Credential Programs.
      • Attend MSCP/SSCP/ESCP mandatory orientations for new students.
      • Code initial admission status of credential students in People Soft.
      • Contact students regarding the status of their credential application packet.
      • Review, analyze, and evaluate transcripts and other records/documents for various types of verifications (i.e. subject matter preparation programs, out of-state verifications, etc.).
      • Conduct exit seminars, prepare handouts, and provide information on all aspects of the preliminary credential recommendation process for students completing the credential program.
      • Act as liaison to the CCTC for students as needed.
      • Assist/advise prospective, current, and former students on initial and continuing program requirements.
      • Verify completion of requirements and certify candidates for all credential programs in offered in the College for recommendation to the CCTC by the Credential Analyst II.
      • Recommend eligible candidates for the relevant credential to Credential Analyst II.
      • Recommend eligible candidates for the relevant supplementary, subject matter, or added specific subject authorization to Credential Analyst II.
      • Attend annual CCAC conference for information on credentialing updates and/or changes implemented by CCTC.
      • Attend S&R meetings.
      • Review/research students’ requests on S&R petition, update student tracking sheet, and share relevant information with committee members regarding students’ requests.
      • Advise committee members regarding policies and procedures pertinent to credential decisions.
      • Approve or deny MSCP students’ request for leaves of absence.
      • Record committee’s decisions concerning students on department FileMaker database
      • Notify SSCP students of committee’s decision.
      • Act as liaison to the CCTC for Teacher Education and Subject Matter Preparation Programs faculty for clarification of program requirements as needed.
      • Update and print out current SSCP students’ tracking sheets each semester for field site directors.
      • Update and print out current students’ tracking sheets as needed for ESCP/MSCP program coordinators.
      • Advise/assist program coordinators regarding specific program requirements and standard student situations.
      • Advise/assist program coordinators of changes made to credentialing requirements.
      • Interview MSCP and SSCP credential applicants, as needed. Collaborate with MS/SS/ES program coordinators/Teacher Ed Chair, and the Dean regarding Concurrent ES/MS and ES/SS Credential options.
      • Download and import students’ test results into department FileMaker database for CSET, RICA, and CBEST.
      • Update CSET, RICA, CBEST, and TPA results on students’ tracking sheets.
      • Forward relevant test results to program coordinators.
      • Work with Teacher Education’s Program Coordinators and Chair, College Dean, CCTC, Institutional Research, and Pearson Evaluation Systems to prepare and submit annual Title II report.
      • Prepare and submit annual Expanded File of Program Completers for Chancellor’s Office.
      • Maintain historical credential program documents, student credential files, enrollment data, and other data necessary for the purposes of reporting (accreditation, biennial reports, Title II, Chancellor’s Office, etc.).
      • Serve as back-up for ERST reporting.
      • Create and maintain positive working relationship with university personnel, CCTC staff, credential analysts/human resources personnel from other universities, school districts, and county offices of education.
      • Perform other duties as assigned.

      Minimum Qualifications

      Experience: Equivalent to one year of experience evaluating academic qualifications of applicants for public school credentials, certificates or permits OR equivalent to two years of experience processing academic records to determine eligibility for admissions or degrees. One year of college level education (full-time equivalent) may be equated for up to one year of the academic record processing experience OR equivalent to two years of experience performing technical, clerical or secretarial duties involving formulation, revision or interpretation of academic requirements or courses. One year of college level education (full-time equivalent) may be equated for up to one year of the technical, clerical or secretarial experience.


      Preferred Qualifications


      • Four-year college degree.
      • Knowledge of FileMaker Pro.
      • Knowledge of past, present, and future credentialing laws, Title V Education Code, CCTC standards and the university approved programs in order to answer student questions.
      • A comprehensive understanding of the credentialing process.
      • Thorough knowledge of school internship programs and a general knowledge of teacher preparation programs.
      • Ability to interpret for others and correctly apply the California Education Code and other such regulations pertaining to the issuance of the various credentials, certificates and permits for public school teaching and service in California.
      • Ability to schedule participants for interviews, workshops or teaching related activities.
      • Ability to evaluate academic qualifications and determine credit to be granted toward credentials, certificates and permits.
      • Thorough knowledge of educational practices related to employment of teachers with credentials, certificates, or permits in California school systems.

      • Thorough knowledge of State standards and requirements for teaching and service credentials.
      • General knowledge of educational practices in California school systems related to employment of teachers with credentials or permits.
      • General knowledge of school internship programs.
      • A broad understanding of the credentialing process.
      • Ability to interpret for others and correctly apply the California Education Code and other such regulations pertaining to the issuance of the various credentials, certificates and permits for public school teaching and service in California.
      • Ability to organize and plan work to meet deadlines.
      • Ability to schedule participants for interviews, workshops or teaching related activities.
      • Ability to evaluate academic qualifications and determine credit to be granted toward credentials, certificates and permits.
      • Ability to prepare correspondence, records, and reports.
      • Ability to establish and maintain cooperative working relationships with others.

      Salary Range

      Anticipated salary will be $4,184 – $4,602 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Credential Analyst I range: $4,184 - $5,939 per month)
