Primary Purpose of the Position:
The primary purpose of the position is to provide research assistance to genealogists, historians, scholars, legal professionals, and state and local government officials in the use of public records, private manuscripts, maps, and special collections.

Key Responsibilities:
  • Providing research and documents needed to assist genealogists, historians, academia, legal professionals, and government agencies. These include wills, estates, marriages, deeds, tax and court records, and various special collections.
  • Fulfillment of Xerox, microfilm, and digital reproduction requests.
  • Create, amend, and develop finding aids or pathfinders that may assist patrons in their research.
  • Assist in other projects maintained by Public Services, such as research and bibliographic files and microfilm room.
  • Assist with arrangement and description assignments and other special projects.
  • Applies strong written and oral communication skills and great attention to detail to ensure the accuracy and prompt response to correspondence requests.
  • Ability to work in an archives or special collections environment.
  • Ability to work independently as well as work cooperatively with the Public Services Unit and the general public.
  • Ability to exercise sound judgement when required to complete multiple tasks.
  • Demonstrates the ability to deal courteously, but firmly, with the general public; to act quickly and intelligently in a variety of situations; to follow oral and written instructions and express oneself clearly in writing and orally.
  • Ability to interpret program policies, rules, regulations, and procedures for organizational personnel, other agency’s personnel, and the general public.
  • Ability to analyze problem areas of work and recommend solutions to supervisor; establish and maintain effective working relationships with staff, departmental officials, and the general public.
The Division of Archives and Records is the agency responsible for preserving the documentary heritage of the state. Under the direction of NCGS §121, the division is mandated to “collect, preserve, and administer” both public records and “private and unofficial historical records and other documentary materials relating to the history of North Carolina”.

The Public Services Unit of the Collection Services Section is responsible for reference services to historians, scholars, state and local officials, lawyers, land surveyors, genealogists, and the general public who have need to consult the public records, private manuscripts, maps, and special collections in the official custody of the State Archives of North Carolina. The Public Services Unit, through its reference and correspondence subunits, functions as the primary public reference access point for the division. This position provides these services through personal consultation, telephone, online, and mail inquiries with copy and certification services provided as mandated by G. S. §121-5 and G. S. §132-9.

Knowledge, Skills and Abilities / Competencies

  • Demonstrated knowledge of North Carolina history, its people, and places.
  • Basic familiarity of the structure of state government.
  • Demonstrated knowledge of office practices, techniques, and technology.
  • Demonstrated knowledge of standard archival practices, including familiarity with the functions of an archives or library research room.
  • Demonstrated knowledge with referencing records requested by the general public.
  • Must be able to lift 40 pounds.
  • Must be available to work Saturdays on a rotational basis.

Minimum Education and Experience Requirements

Master’s degree in history, public history, or library and information science; or master’s degree in a related discipline with coursework in archival and records management from an appropriately accredited institution; or an equivalent combination of education and experience.
