Coordinator of Recreation Programs

The City of Palo Alto is looking for a Recreation Programs Coordinator to serve its Middle School and Adult Athletic Leagues. The Coordinator is responsible for planning the season schedule from advertising registration dates, coordinating athletic facilities, setting the game schedules through to interacting with league parents, players and staff. Hiring is a large component of this position as there is always a need to hire and resupply coaches and referees. The position works Monday - Friday on a 9/80 schedule with every other Friday off and is based out of the Mitchell Park Community Center but should plan to spend afternoon hours rotating among the three Middle School sites (JLS, Greene, Fletcher).

The Ideal Candidate
The Ideal Candidate for this position will have the following experience and skills:
  • Deep knowledge of sports including game rules, coaching styles and types of play
  • Experience with student leagues and recreational adult leagues
  • Hiring - Experience in conducting fair, fast and efficient processes
  • Event or League coordination - Experience with handling details for multiple events at multiple sites
  • Public Response - Experience in public interactions and responding to inquiries and complaints

Essential Duties

Essential and other important responsibilities and duties may include, but are not limited to, the following:

Leads and directs athletic leagues and special events in specific and defined program areas (Middle School Athletic Leagues and Adult Athletic Leagues).

Plans recreation programs by analyzing demand and researching trends, demographics and needs of programs participants in order to evaluate current programs and plan strategically for the future; prepares justification for recommended programs.

Coordinate plan, organize and supervise athletic leagues including preparation of registration materials and website, coordination of athletic facilities, personnel (youth coaches, referees, etc.) and equipment.

Plans and implements marketing plan / activities; prepare registration schedule including preparation of brochures, flyers, posters, news releases, and other marketing devices and promotional materials.

Instructs support staff, volunteers and participants in the fundamental knowledge required to participate in the preparation and production of Recreation programs.

Recruits, interviews, evaluates, and supervises support staff and volunteers. Prepares contracts and job descriptions.

Orders supplies and equipment and coordinates delivery; schedules facilities; coordinates program activities and promotes good inter-group relations.

Ensure assigned building(s), facilities and equipment are operational and free of serious health and safety hazards; coordinates maintenance and security; inspects for cleanliness, vandalism and maintenance problems; may open and secure facilities.

Serves as advisor to organized clubs and youth groups; explains City policies and procedures; assists in coordinating activities by arranging for and scheduling facilities, finding resources and providing guidance.

Assists with the development and preparation of annual budget recommendations within the area of assigned responsibility. Prepare revenue and expense projections and budget reports.

Prepares purchase orders and payment requests and other written materials.

As assigned, will serve as liaison to community groups and organizations, neighborhood councils, parents, school officials regarding activities within their assigned program areas.

Minimum Qualifications

Sufficient education, training and/or work experience to demonstrate possession of the following knowledge, skills and abilities, which would typically be acquired through:

For Recreation positions:
College degree in recreation, liberal arts or a related field, or equivalent experience.

For Special Events positions:
College degree in Marketing, PR or communications or equivalent experience in the special events industry
AND
At least one year of lead or supervisory experience

OR

Sufficient work experience to perform the essential duties of the position
