Job Scope

The Real Estate Manager is responsible for managing the commercial real estate assets to optimize operations for the benefit of the company, tenants, and customers, and maximize the financial return to the company. This includes meeting financial performance metrics, maintenance and capital improvement responsibilities, tenant relations, and leasing support. The Real Estate Manager is responsible for supervising janitorial and maintenance staff, as well as other service providers. The Real Estate Manager will interact with other internal departments including Accounting, Construction, Development and Leasing, as well as brokers, current and prospective tenants, contractors, vendors, and governmental agencies. This position constantly strives for improvements in work processes and results to better meet internal and external customer expectations.

Job Duties

  • Oversee management of assigned properties; direct operational activities including maintenance, security, marketing, landscaping, and other activities.
  • Develop operating income/expense budgets and capital budgets in line with the owner’s strategic direction and objectives. Operate properties within approved budget parameters.
  • Administer leases, with an understanding of lease clauses, rent charges and tenant/landlord obligations.
  • Manage tenant relations, coordinate requests for repairs and maintenance and address other tenant concerns. Ensure rent is collected or payment issues are addressed in a timely manner.
  • Coordinate with asset management and accounting to manage real estate assets consistent with owner’s strategy and goals.
  • Interface with leasing representatives and brokers to ensure spaces are in lease-ready condition.
  • Engage contractors, contract for services, supervise work, and approve invoices for all goods/services required to maintain the properties.
  • Bid work for capital expenditures including tenant build outs when necessary; keep accurate records of current building conditions including roof, HVAC, utilities, and special circumstances.
  • Work with Development and Construction teams when transitioning new projects from development stage. Assist with property dispositions, if any.
  • Maintain complete, organized, and accurate property file records.
  • Recommend and implement programs to improve or optimize operational and financial performance. Find opportunities to generate additional revenue or reduce operating expenses.
  • Interface with government officials, community members, and commercial associations as necessary.
  • Maintain a network of emergency services to be available for 24 hour/weekend coverage, as required.
  • Prepare annual property budgets and monthly reports, including operating narratives, variance explanations, accounts receivable status and tenant issues.
  • Demonstrate a positive, professional, and customer-oriented attitude about the company with coworkers, tenants, customers, and the public.
  • Participate in lease negotiations as directed by Asset Management.
  • Oversee and implement center marketing programing and events.
  • Oversee Tenant Improvement projects, review signage applications, and interface with tenant’s construction personnel for assigned properties.

Technical/Professional Knowledge (Knowledge/Skills, Education, and Experience)

  • Minimum 5 years of industry experience in commercial property management.
  • Effective oral and written communication skills; ability to give clear direction and respond to inquiries.
  • Understanding of accounting principles and budget process. Ability to read and interpret numerical information, report on operating performance, and explain variances to the budget.
  • Understanding of marketing concepts; analyzing data; and report writing.
  • Customer service experience required in at least one of the following industries: property management, hospitality, retail, and real estate.
  • Strong project management skills including planning, organizing, and coordinating tasks.
  • Ability to negotiate and resolve conflicts.
  • Strong technical understanding of building systems and operations.
  • Proficient with Microsoft Office products (Word/Excel/Outlook) and Yardi preferred.
  • Prior experience in managing a team of operational vendors (interview, develop, supervise) and lead by example.
  • Bachelor’s degree strongly preferred

Work Environment

The Real Estate Manager works in a professional office environment and interfaces with external/internal customers, tenants, vendors, contractors, and the public on a regular basis. Work hours are usually scheduled from Monday through Friday from 8:00 a.m. – 5:00 p.m. However, the Real Estate Manager should be flexible with availability depending on the needs of the department and tenants. The Real Estate Manager will always maintain professionalism.

Physical Requirements

While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands, reach with hands and arms, stoop, kneel, talk, hear, and use a telephone and personal computer. May be required to lift and/or move up to 25 pounds. Must be able to drive in the normal course of work.
