We have an exciting opportunity to join our team as Clinical Fellowship & Medical Student Coordinator.


Under the supervision of the Clinical Education Manager, the incumbent coordinates all activities related to departmental clinical fellowship programs and medical student education, including Berkeley Optometry student clerkships. The coordinator provides support to departmental faculty education program leadership and necessitates the ability to communicate effectively with a wide range of stakeholders. This person is the “go-to” contact for all clinical fellows, medical students, and clerkships, and should be available and service-oriented. The coordinator serves as the primary contact for the School of Medicine GME office for the departmental clinical fellowships, and ensures coordinated, well-integrated programs. The coordinator collaborates with the Education Program Assistant, Residency Coordinator, and other program staff, and is a key part member in planning and executing department education events, such as the residency and fellowship recruitment activities, Graduation Day, onboarding new Residents and Fellows, off boarding residents and fellows, and ongoing educational conferences and learning experiences. The ideal candidate is highly organized, a team player, and is driven by the educational mission.


This is a hybrid position with the expectation of 2-3 days on-site per week; during certain times of year, and increased on-site presence may be required (e.g. annual recruitment).


The expected pay range for this position is $68,000 to $84,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.


Duties include:

  • Coordinate, organize, and execute department events as related to education: residency & fellowship interviews, onboarding, Graduation Day, off-boarding, and the Stanford Bay Area Ophthalmology Course.
  • Compile reports using SF Match, AUPO, and ACGME. Enter rank order list, maintain residency matching, resident wish list.
  • Maintain confidential resident/fellowship files and monitor records of resident/fellow attendance for all required educational activities, including conferences and other didactic experiences.
  • Track work hours, resident & fellow activities and schedules in SHC MedHub; maintain, and update resident and fellow rotation, vacation and leave schedules in electronic systems. Work closely with department HR & Faculty Affairs to verify trainees’ status and activities as needed.
  • Monitor and document the residency/clinical fellowship evaluation process in MedHub.
  • Work with the Education Program Assistant to communicate regularly with residents/fellows and faculty regarding the daily activities, such as wet labs, special lectures, and weekly educational activities.
  • Provides support to Faculty Program Directors including scheduling of student meetings, preparing meeting agendas, recording and maintaining meeting minutes, and other educational ad hoc requests.

DESIRED QUALIFICATIONS:

  • 1-2 years in an office environment
  • Event coordination experience
  • 1+ year of experience with Graduate Medical Education

EDUCATION & EXPERIENCE (REQUIRED):

Two-year college degree and one year of relevant experience, or combination of education and relevant experience.


KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Ability to work independently and to coordinate multiple assignments with fluctuating priorities.
  • Agile and quick learner who can adapt easily to Stanford specific software and clinically related software.
  • Solid oral and written communication skills. Ability to work with all levels of faculty and staff and handle diverse workload.
  • Must have excellent customer service skills and ability to adapt to changing work environment.
  • Proficient with Excel, Word and other applications required.
  • Ability to learn, understand and apply Accreditation Council for Graduate Medical Education (ACGME) or other subspecialties guidelines
