Summary:
The Clinic Operations Manager will oversee the daily operations of offices in multiple locations. This position is responsible for directing all non-medical aspects of the Personalized Lifestyle Medicine Clinic (PLMC). This includes managing the medical support staff, billing & collection for professional health care services, directing all aspects of PLMC clinical trials, and developing & maintaining a budget for the department.


We are looking for someone who has experience managing multiple doctors and a large office staff. We ideally would like someone who is extremely organized and can support the growth of our clinic with program management, employee morale while maintaining a family environment, increasing clinic revenue, and supporting excellent patient care.

This will be an extremely fast paced position with an average of 100 patient visits per day. We want someone who handles daily operational stress well. The person we are looking for is a go-getter, can multi-task, knows daily operation of a medical clinic and be a great leader for everyone included.

Responsibilities:
What you'll do:
  • Manage daily operations of the practice while maintaining a professional workplace. You will schedule and coordinate patient appointments, create patient files and provide customer service.
  • Manage multiple locations and the employees that work in those locations.
  • Coordination of the Management Services Organization (MSO), Professional Medical Corporation (PC) and Metagenics, Inc. This coordination will include but not be limited to:
    • Advertise and market for the PLMC
    • Risk management
    • Budget preparation and tracking
    • Provide necessary personnel
    • Information management such as managing hardware, software and interfaces, new technology acquisition, website design, information security, medical record management, etc.
    • Billing and collection for professional health care services
    • Consulting on physician services and relationships
    • Vendor and payor contracting
    • Data management and entry as needed
    • Directly supervise all non-provider staff
    • Oversee Meaningful Use, PQRS, and other medical certifications
    • Develop, implement and maintain office policies and procedures
    • Responsible for overseeing inventory management, ordering of medical supplies, and office equipment
    • Schedule and lead out in all operations and committee meetings
    • Ability to work positively and professionally with employees at all levels within the organization
    • Implement programs and goals to support company strategy
What you'll need:
  • Associate’s degree or equivalent experience required; Bachelor’s degree preferred
  • Minimum of 5 Years office administration, including support of high-level leadership
  • Proficiency in essential computer programs including MS Project, Word, Excel, PowerPoint, and Outlook
  • Experience with Meaningful Use, PQRS and other medical certifications
  • Experience in working within a system-centered environment
  • Experience managing multiple employees
  • Experience and proficiency in EHR systems and medical billing
Knowledge of:
  • Best practices in travel planning, calendaring and web-based meeting options, organization methods, and Microsoft technologies

Other:
  • May be required to work overtime to complete work or projects; overtime shall require advance approval from Supervisor
  • Frequent travel (20%) is required between clinic sites in Washington and California
  • Meets all applicable safety requirements for the position and work environment
  • Completes other duties as assigned
