ABOUT THE ROLE:
The Clinic Coordinator is a critical part of the Uniform Teeth ecosystem. They welcome patients into our space, manage the schedule of the clinic, handle on-location customer service requests, help out with office needs, uphold the day-to-day operations of the clinic, ensure there is a high quality of clinical care, focus on the patient, and outstanding customer service.
We're looking for a customer service generalist who thrives on helping others. They act with a sense of urgency, and love to provide an amazing, personalized experience to all patients. They meet challenges with a growth mindset and with a solutions-oriented attitude. This person takes initiative to solve problems for their team and their patients - and instills these values in his/her teammates.
The ideal candidate is excited about being cross-trained to occasionally provide direct patient care. Either seeing a prospective patient in an initial consultation to help them initiate treatment or getting trained to provide care to our current patients.
The Clinic Coordinator will report to the Clinic Manager and will partner closely with the Market Manager and Regional General Manager. You will work closely with the Lead Orthodontist to establish a winning clinic culture that is patient-friendly, enhances teamwork and productivity, and is based on integrity, transparency, and collective problem-solving.
HOW YOU'LL HAVE AN IMPACT:

  • Communicate with patients in a professional, helpful, and enthusiastic tone.
  • Tenaciously seek answers to resolve patient questions or concerns.
  • Guide the communication and billing process with insurance partners.
  • Deliver on daily service performance metrics.
  • Help build and refine service protocols and continuously elevate standards.
  • Identify opportunities to delight patients with unexpected levels of service.
  • Provide coverage as needed for all clinical roles. Answer patient calls and other correspondence as appropriate.
  • Oversee the daily operation of the clinic, scheduling the staff, assigning the work loads, and managing the facilities to meet clinical, administrative, and operational support requirements.
  • Manage the finances of the clinic. Ensuring the budget is being adhered to, forecasting the expenses, reviewing invoices, statements, receipts and approving expenditures.
