The Client Services Coordinator will provide administrative support to advisors, minimize scheduling issues and conflicts, and ensure efficient day-to-day operations. The successful candidate will produce high client satisfaction rates through excellent customer service, a prompt follow-up to client issues, and proactive problem-solving.

Responsibilities:
Client Services Coordinator Responsibilities:
  • Answer phones, route calls, and distribute messages
  • Schedule, calendar, and manage tasks and activities in CRM and team members’ calendars
  • Manage incoming and outgoing communications (telephone, email, and faxes)
  • Provide general office support (photocopying, faxing, filing, office errands, creating documents, etc.)
  • Review, sort and distribute incoming mail
  • Manage client touches and birthday process, cards, and gifts
  • Complete operations and client service tasks as requested, and train to be competent in all areas over time
  • Supervise the maintenance of client and office files
  • Complete backup duties, requests, and additional projects as assigned
Qualifications:
What you’ll need for this position:
  • 3+ years of experience in administrative support required, wealth management industry preferred
  • Comfort navigating new technology tools, and demonstrated proficiency in MS Office Suite
  • Strong math and analytical skills
  • Excellent oral and written communication, interpersonal and organizational skills
  • Effective follow-up skills and ability to meet deadlines without prompting
  • Great attention to detail and a commitment to confidentiality
  • Self-motivated with the ability to work well both independently and under direction
Bonus:
  • Notary Public certification, or ability to obtain
  • Series 7 and 65 licenses, or ability to obtain in the future

In some states and municipalities, Pinion is required by law to include a reasonable estimate for range of compensation. When making compensation decisions, Pinion takes into account a variety of factors including but not limited to experience, skills, certifications/licenses, and geographic location. The wide range for this role reasonably accounts for these factors. Specific compensation decisions are made based on the facts and circumstances of each case. A reasonable estimate of the current range is $20 - 30 per hour.
