Basic Job Purpose/Function

Under direct management of the Crisis Division Manager/DCR this position is responsible for the coordination, scheduling and operations of the department. This position ensures that the crisis and outpatient schedule is updated monthly, and availability is noted within the electronic medical record. Scheduling, data entry, and other office support is provided to the team and residents seeking crisis services, individual and family therapy as well as case management services to a diverse population of children, youth, and adults in Klickitat County. This position is often the first point for people in crisis and is comfortable providing screening and referral depending on the service needs.

Essential Job Duties

  • Works with the Crisis Division Manager/DCR in the implementation of front and back-office procedures to accomplish local, state and federal behavioral health goals and policies.
  • Assists with the onboarding and administrative training of new staff under the management of the Crisis Division Manager/DCR.
  • Operates as the department’s super-user for the electronic health record and other Klickitat County computer systems.
  • Ensures that clients are addressed in their preferred language.
  • Ensures accurate data entry and form completion, assisting the Crisis Division Manager /DCR with quality management and compliance, and chart reviews when needed.
  • Provides referral information for individuals and families seeking therapy and other services.
  • Works with the clinical staff to ensure that the correct codes are entered prior to submitting encounters.
  • Reviews and processes records for involuntary mental health treatment procedures.
  • Works with the crisis team to ensure that paperwork is completed and submitted for Involuntary Treatment Act evaluations and ensures completion of the case documentation.
  • Ensures that clinical staff are provided with the necessary paperwork and reports for case planning and coordination with multi-disciplinary team and agency therapists and psychiatrists including Department of Social and Health Services (DSHS) and Social Security Income (SSI) evaluations.
  • Ensures submission of crisis data and works with the Electronic Health Record to ensure that client demographics and other data is accurate prior to submission.
  • Schedules and Coordinates staff for Behavioral Health Court and Criminal Just Treatment Account (CJTA) services. Ensures data for reports is gathered monthly and ready for review.
  • Ensures proper and accurate documentation of all client records according to contracts and quality improvement plans.
  • Triages requests for services, identifies staff to triage cases, and tracks caseloads.
  • Responsible for maintenance and timeliness of all records, progress notes, and other required documentation.
  • Responsible for documentation related to behavioral health quality management, compliance and chart reviews.
  • In coordination with the Crisis Division Manager/DCR, assists with preparation configuring and updating elements of the electronic health record to support the operations of the department.
  • Performs other related duties as assigned.

Requirements/Minimum Qualifications

Education: High school diploma or GED and two to four years of progressively responsible clerical and/or bookkeeping experience.

Experience: Two years of related college or business school course work may be substituted for two years of experience.

  • Knowledge of departmental services and procedures for accepting requests for crisis and outpatient service referrals. Demonstrated ability to produce and maintain accurate and consistent records of each case referred.
  • Understanding of all federal, state and county rules and regulations as required in Washington Administrative Code (WAC), Revised Code of Washington (RCW), and contract requirements.[1]
  • Proficient knowledge in use of standard office equipment including computers, copiers, fax machines as well as current computer software including Excel and Word.
  • Demonstrated skill in supervisory techniques.
  • Knowledge and adherence to HIPAA/FERPA and CFR 42 Part 2 as it specifically pertains to all behavioral health programs and records
  • Skill in record keeping and document organization.
  • Skill in operation of office equipment used to provide the necessary information.
  • Ability to supervise, train, assign tasks and evaluate the work of employees.
  • Ability to maintain continuing liaison and professional working relationships with behavioral health agencies and other medical and human service-related agencies and providers.
  • Ability to work independently.
  • Ability to communicate effectively verbally and in writing with clients, staff, and the public.
  • Ability to manage conflict and difficult situations.

Licenses, Certificates and Other Requirements

  • Submit to a criminal background check, as required by Washington State Law.
  • Washington State Driver’s License or ability to be a licensed driver in Washington State.
  • Documented completion of continuing education on an annual basis to maintain certification and/or licensure as applicable.
