Basic Function:
Under the general direction of the CHESS Project Director, the Program Coordinator provides assistance and coordination to Project CHESS: Collaborative for Hispanics in Higher Education & Student Success, a grant by the U.S. Department of Education Title V program. The Program Coordinator assists the Project Director with the development and execution of all program components; provides administrative support; hires and manages student worker; prepares and submits documentation for stipends; prepares budget reporting for Project Director's monitoring; serves as liaison between office and the general public, staff, and outside groups; coordinates meetings including schedule, agenda, and minutes; composes a variety of documents and forms including reports and correspondence, manages calendar of appointments and events; manages all correspondence and refers matters as appropriate; monitors supplies; prepares purchase requisitions and requests for payment; maintains filing systems; performs related duties as assigned. This is a grant-funded position with targeted end date of 9/30/24

Representative Duties:
Provide support for the leadership, management and administrative direction for the CHESS Title V grant; program oversight/compliance. E
Support planning and coordination of the CHESS program and its activities. E
Plan and facilitate monthly activities, info sessions, and workshops that bring together faculty and students from Moorpark College and Cal Lutheran E
Maintain the CHESS grant budget; track expenditures. E
Ensure that the CHESS project complies with all institutional and federal guidelines, policies, and regulations. E
Manage communications through media relations, social media, publications, etc. E
Schedule and organize meetings/events and maintain agendas. E
Prepare paperwork and order material. E
Work with the Business Office on account reconciliation, budget changes, and collaborate with Grant Accounting and Business staff to ensure proper disbursement of stipends, consultant payments, and participation certificates. E
Keep updated records and create reports or proposals. E
Direct, develop, and evaluate student workers. E
Maintain the confidentiality of student records and other information according to FERPA regulations. E
Ensures compliance with University policies, the Code of Federal Regulation (CFR), the Government Performance and Results Act (GERPA), and the General Educational Provisions Act (GEPA). E
Perform all other duties as assigned.

Knowledge Of:
University academic policies, mission, goals, and objectives. Federal Educational Rights and Privacy Act (FERPA).
U.S Department of Education Federal Regulations as it relates to Title V grants.
Event planning and organizational skills.
Budgeting, bookkeeping and reporting
Personnel management
Issues surrounding socioeconomic, cultural, sexual orientation, religious, ability, and ethnic diversity.
Organizational and oral/written communication skills;
Customer service and interpersonal skills using tact, patience, and courtesy.
Modern office practices, procedures, and equipment. Relevant computer software and skills include Microsoft Office, Google Suite, budget keeping, and internet searches.

Supervise, train, evaluate, and direct the work of others.
Process and maintain highly confidential information.
Work collaboratively with others
Provide logistical support for the CHESS Project
Communicate effectively both orally and in writing.
Apply University policies, procedures, rules, and regulations appropriately. Execute program services according to department standards.
Develop activities, presentations, handouts, forms, and other relevant communication. Work with a diverse population of students and campus affiliates.

Minimum Qualifications:
Any combination equivalent to: A bachelors degree AND two years of experience coordinating grants or programs with moderate administrative complexity.
OR
A graduate degree and one year of experience coordinating grants or programs with moderate administrative complexity.

Preferred Qualifications:
Masters degree in higher education, administration or a related field and two years of professional experience working directly with a grant. Demonstrated commitment to and success working in diverse, multi-cultural and multi-racial communities.

Office environment; constant interruptions and distractions. Ability to work flexible hours as needed, possible duties in evenings or weekends.
