Position Type /Expected Hours of Work: Hours will be set to match the open hours of other Agency offices. Monday through Friday from 7:30 AM to 4:00 PM or 8:00 AM to 4:30 PM; as agreed to by your supervisor. Hours will be scheduled according to the needs of the program, up to 40 hours per week.


Qualifications:
High School Diploma or equivalent required; advanced degree preferred in Business or Clerical A.A.S. Degree. Also preferred: one year clerical experience with auditing, finance and windows based computer operating systems. A Valid NYS Driver’s License


Work Authorization/Clearance:
Authorized to work in the United States and pass all background clearances.


Summary/Objective:
The Career Opportunities Administrative Assistant II is responsible for confidential and routine clerical/reception duties including electronic filing, program reports, and routine office management. The position requires professional detailed knowledge of Career Opportunities, supported work, ARC Jefferson-St. Lawrence day-to-day operations. Emphasis is placed on confidentiality, staff support, and public relations.

  • Support the goals, objectives, and philosophy of the agency.
  • Will support the Agency’s values by working with measurable signs of PRIDE.
  • Provides clerical support to the Coordinator of Career Opportunities and other department staff by typing assigned correspondence and assisting with computer operations including data entry and program reporting.
  • Compiling monthly statistical records as assigned by Career Opportunities Administrative Assistant I, Coordinator of Career Opportunities and Community Prevocational Supervisor – maintaining confidential files of enrolled or previously enrolled individuals in Supported Employment Services and Community Based Pre-Vocational Services.
  • Maintains document tracking for OPWDD, OMH and ACCES-VR funded programs.
  • Provides clerical and receptionist assistance for computer services.
  • Acts as office receptionist answering multi-line phone system and facilitating communications with community employers and volunteer sites, individuals and other agencies. Provides input as a central office team member.
  • Provides Clerical Support for the Coordinator of Career Opportunities and Community Prevocational Supervisor.
  • Responsible for office and interoffice mail, supplies, accounts payable (Purchase Orders) and other program purchase orders.

  • Adherence to agency policy and procedure guidelines, adherence to Agency Code of Conduct, and assist in facilitating a safe working environmentally working safely at all times, adhering to the Agency guidelines and reporting potential health and safety issues to supervisors in a timely manner.

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
