Position

The HVAC Mechanical Service arm for LONG is looking for a Business Associate to provide support to the Business Manager within our business unit and will work with sales personnel, dispatchers, service administrators, technicians and operations on day-to-day functions and will work independently on specialized processes to maintain the Business Unit’s financial health and make sure resources are utilized beneficially.

Pay Range: $29 - $34 per hr. plus potential profit share.

Responsibilities


  • Process bookings through the Microsoft Access tracking system and Microsoft Dynamics accounting system
  • Process service agreement bookings through the Microsoft Dynamics accounting system and ensure all documentation for booking is complete
  • Process service agreement billings on a semi-monthly basis and ensures invoices are accurate before mailing to customers, both external and internal.
  • Book projects and process billings through the Dynamics Job Cost System.
  • Assist and backup other teammates working on Time and Material service billings, Service Coordination/Dispatch, Access Data base entry, Inventory Reports, Purchase Orders and Accounts Payable invoices.
  • Help audit and analyze remaining to bill and over/under billed amounts on a monthly basis.
  • Assist with posting warranty to jobs and put together closed job reports on a monthly basis.
  • Assist the Business Manager with review and reporting on monthly financial statements.
  • Work with our accounting team to assist in the collection of invoices from customers.
  • Issue purchase orders to technicians on an as-needed basis.
  • Request certificates of insurance for compensation and liability to be sent to customers.
  • Keep an up-to-date list of new and expired agreements in SharePoint.
  • Keep locations and customer list up to date with proper tax schedules and contact information.
  • Other duties as assigned.

Required Qualifications

  • 4-year Business Degree (Emphasis in Finance or Accounting Preferred)
  • 1 year of work experience, preferable in an office environment

Required Knowledge, Skills, Abilities

  • Microsoft office suite with an emphasis on excel
  • Comprehensive knowledge of accounting/bookkeeping procedures
  • High attention to detail
  • Professional written and verbal communication
  • Able to learn the operations of a technical service business structure
