Building Coordinator - Alumni Bldg. (HR 07)


Summary:

Building Coordination:
The position is responsible for the management and oversight of the operational aspect of the Alumni Building and has the authority to make decisions and carry out duties that affect the comfort, convenience, safety and security of the building and those who utilize the building. The position will work with other occupants of the Building to assure work order needs are identified, communicated to FM and corrected. The position will also oversee the custodial work of the building, as well as the set-up and teardown of events held in Baird Lounge and the Activities Room. The position will also be responsible for the scheduling of the Woods-Penn Common Space and event set-up teardowns there until the remodeling and repurposing of the Woods-Penn Building, after which time the position will deal exclusively with space in the Alumni Building. The position will have no other duties in conjunction with the Woods-Penn Building other than the previous mention of space scheduling and event set-up/teardown in the Commons.


Office Coordination:
The position is responsible for the management, direction, and operation of an administrative function that interacts with multiples constituencies across campus that reserve space (specifically Baird Lounge and the Activities Room in Alumni and the Commons in Woods-Penn) for meetings, activities, etc. Managing the calendar for these spaces and communication with interested parties will be critical for success. The position will need to work closely with Student Life, Conference Services, Sodexo, and the Boone Tavern, as well as others in coordinating use of these spaces.


Minimum Qualifications Required:
Education:
  • HS diploma required.

Experience:

  • 3 to 5 years’ experience as a building coordinator/administrative assistant is ideal. Experience in supervising is preferred, as the position will oversee a student labor force that will be crucial to success in the role.

Special skills, knowledge and abilities:
  • Must be self-reliant and a self-starter, with the ability to recognize and solve a wide variety of problems and respond to questions as it relates to the care of the building, as well as the calendar scheduling, set-ups of scheduled spaces and cleaning of the building.
  • Must possess strong interpersonal skills to work effectively with many different personalities (professors, staff, students and the general public).
  • Must possess strong leadership skills to effectively lead, train and manage student labor staff who perform custodial work, event set-ups/teardowns, and administrative support.
  • Must possess solid computer skills in order to use and instruct others in the use of calendaring software or applications to reserve spaces for use in the Alumni Building and schedule the set-ups and teardown of events.
  • Preferred to have some knowledge and experience with work in an academic community.
  • Must possess good project management skills and strong administrative office management skills.

Physical requirements:

  • Ability to walk around the campus and campus buildings.
  • Requires hands-on support with custodial work, set-ups and teardowns of events.
  • Must be able to lift up to 25 pounds, bend, stoop and stretch.
  • Ability to use hands, listen and talk to perform the responsibilities of the job within the office and the building.
  • Must be able to climb stairs or ride in an elevator to move between the floors in the building.

  • A fast-paced office environment with multiple distractions/interruptions throughout the day.
  • Potentially stressful situations to meet deadlines for projects/tasks such as event set-ups and teardowns, and to address the immediate needs as they relate to the building.
  • Daily physical movement throughout the building and across the campus.

Primary Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The position is responsible for the management and oversight of the operational aspects of the Alumni Building, such as custodial activities for all parts of the Alumni Building (except for Dining Services) and for event coordination in Baird Lounge and the Activities Room, including calendar management, set-up and teardown. The position will also temporarily have scheduling/event set-up teardown duties for the Woods-Penn Commons space as noted above. The position can require hands-on physical work in assuring these tasks are carried out along with Student Labor.


  • Responsible for training, managing, mentoring and evaluating the student workers who perform the primary work related to custodial care of the Building and the event set-up/teardown functions.
  • Observe and communicate to Facilities Management through the Campus Workorder System (TMA) any work that needs to be completed and then follow-up as necessary to assure completion.
  • Use various computer software, such as Microsoft Office (Outlook, Word, Excel, and PowerPoint) or other to manage and communicate the scheduling of Baird Lounge and the Activities Room.
  • Communicate and demonstrate excellent customer service in helping coordinate the scheduling and use of Baird Lounge and the Activities Room with both internal on-campus parties and off-campus third parties.
o Communicate with Facilities Management regarding recycling for pick up of recyclable materials located in various recycling bins throughout the building.
o Communicate with Public Safety regarding issues with the doors and any safety issues or emergency situations in the building
o Monitor all common areas, restrooms, vending areas and building entrances to ensure they are adequately furnished and maintained.
o Ensure the safety of the occupants of the building by reporting any suspicious activity, medical/fire/police emergencies, spills, or any immediate repair issues noted in and around the building.
  • Work with IS&S on any network or wireless network issues experienced by the occupants of the building and to coordinate upgrades to media equipment or any phone issues in the building as needed.
  • Oversee vending in Alumni, to ensure appropriate service of vending machines, and work with vendors and Finance on any issues that may arise with the products or the machines.
  • Responsible for taking charge of emergency evacuations, and drills, to ensure all occupants have evacuated to the appropriate area when required.
  • Physically supports the cleaning, set-up and teardown of the spaces in Alumni Building.
  • Temporarily physically supports the set-up, teardown of events in the Woods-Penn Common
  • In support of Berea College’s great commitments this position requires student supervision. The fourth great commitment is to promote learning and serving in community through the student labor program, honoring the dignity and utility of all work, mental and manual, and taking pride in work well done. The Supervision would include scheduling, assigning and approving work performed. Developing students about common workplace acumen and giving them tangible work experience is an expected outcome.
