Program Coordinator Compensation: Starting at $23.00 per hour DEO

PRIMARY FUNCTION:

Directs overall daily operations of the Boys & Girls Clubs of South San Luis Obispo County programs with the primary concern for programs and service delivery, supervision and training of staff, facilities management, community relations and safety. The Program Director is responsible for overseeing the planning, development, implementation, and evaluation of Boys & Girls Clubs of South San Luis Obispo County programs for youth between the grades of Tk to 12th. Program responsibility supports our priority outcome areas of Academic Success, Healthy Lifestyles, Good Character and Citizenship. The Program Director also provides leadership and supervision to assigned program and volunteer staff; manages budgets and controls expenses as assigned.

KEY ROLES (Essential Job Responsibilities):

Leadership

  • Provide leadership and direction to Unit Coordinators in the management of their designated units/branches/teen centers. Attends and participates in Administration, Committees and Board as necessary.
  • Implement Annual National Youth Outcomes Initiative (NYOI) meetings
  • Ensure an environment that facilitates achievement of youth development outcomes, and High-Quality Club Experience for Members, with overall responsibility for cleanliness, attractiveness, and safety of properties and equipment.
  • Conduct regular program evaluations of all Units in collaboration with other Operations Director and Chief Executive Officer.

Strategic Planning

  • Ensures development and implementation of strategic planning processes for overall Unit programs, including the development of annual program objectives.
  • Ensures quality improvement of programs by conducting program evaluations and an annual written analysis of member needs and interests. Compiles monthly statistical reports reflecting activities, attendance and participation, especially in regard to teens.
  • NYOI Surveys completed annually with a high rate of participation across all units.
  • Collaborate with local school districts and other community organizations to increase the ADA if each unit through understanding the needs of youth, families, and community.
  • Attend regular Site and Club meetings.

Prepare Youth for Success

Oversee the operations of South SLO programs and activities that support Youth Development Outcomes:

  • Establish Clubhouse program objectives consistent with organizational goals and mission.
  • Oversee the provision of day-to-day program activities in accordance with established standards and goals.
  • Ensure that members are encouraged to participate in a variety of program areas/activities and receive instruction and constructive feedback to develop skills in program area(s).
  • Demonstrate leadership to assure conduct, safety and development of members.

Program Development and Implementation

  • Establish and maintain BGC South SLO program goals and settings that insure the health and safety of members and staff. Ensure that site staff understand and effectively communicate standards of program; that they ensure program areas are safe, well ventilated and well lit; and that Club equipment is maintained in good working condition.
  • Ensure the evaluation of Club programs on a continual basis and ensures programs/activities respond to member needs and address their gender and cultural diversity.
  • Control BGC South SLO program and activity expenditures within approved budget.

Supervision

  • Allocate and monitor work assigned to program volunteers and staff, providing ongoing feedback and regular appraisal. Identify and support training and development opportunities for assigned volunteers and staff.
  • Oversee proper record keeping and reporting including activities and events conducted, breakdowns of daily participation figures, notable achievements, and any problems/issues.
  • Ensure productive and effective performance by all program staff and volunteers.

Marketing and Public Relations

  • Develop and maintain public relations, promoting and stimulating membership within the Clubs. Coordinate with the Resource Development Coordinator on publicity for programs and services within the Club and the community.
  • Occasional weekend and evenings in support of fundraising events, committee meetings and activities.

Additional Responsibilities:

  • May oversee special programs and/or events (i.e. Keystone, Youth of the Year and Awards Programs), and/or participate in the implementation of other unit activities as necessary.
  • Responsible for managing human resources programs and systems including recruitment, employee relations, training, and development.
  • Will consult with parents concerning member and site issues.
  • Exercise authority in problems relating to members; utilize guidance and discipline plan.
  • May assist in the administration of restricted programs by overseeing program operations at each location; ensures the completion of required reports; and preparation of any required interagency reports.
  • Work with staff on special events to carry out programs in all departments.

RELATIONSHIPS:

Internal: Maintains close, daily contact with assigned staff (professional and volunteer), Club Members, and School Personnel to receive/provide information, discuss issues, explain, or interpret guidelines/instructions; instruct, and advise/counsel, technical assistance in matter of programming, safety and operations; interacts regularly with Chief Executive Officer, Operations Director, Resource Development Director and as assigned with the Board and its Committees.

External: Maintain contact as needed with external community groups, schools, member's parents and other to assist in resolving problems.

SKILLS/KNOWLEDGE REQUIRED:

  • Four-year degree in related field from an accredited college or university, or equivalent experience.
  • A minimum of five years work experience in a Boys or Girls Club or similar organization planning, and supervising activities based on the developmental needs of young people.
  • Considerable knowledge of the mission, objectives, policies, programs and procedures of Boys & Girls Clubs; of the principles and practices of non-profit organizations.
  • Demonstrates ability to organize, direct and coordinate operations; in personnel supervision, the recruitment and retention of key personnel; facilities management; and budget management.
  • Strong communication skills, both verbal and written.
  • Group leadership skills, including an understanding of group dynamics.
  • Ability to establish and maintain effective working relationships with Club Staff, subordinates, Board members, community groups, and other related agencies.
  • Ability to manage multiple tasks and to develop solutions to problems with limited supervision.
  • Ability to delegate tasks to local staff and ensure deadlines are met by the Club.
  • Can identify local and Spillett Learning Universities (SLU) training needs and suggest training pathways for our Club Staff.
  • Mandatory CPR and First Aid Certifications
  • Ability to pass a rigorous background check
