SUMMARY

Provide administrative support to all department and/or Managers. Duties include general clerical, receptionist and project-based work. Project a professional company image through in-person and phone interaction.

PRIMARY RESPONSIBILITIES

  • Answer telephones and transfer to appropriate staff member.
  • Meet and greet clients and visitors. Schedule Appts.
  • Create and modify documents using Microsoft Office & Excel.
  • Perform general clerical duties to include but not limited to: photocopying, scanning, faxing, binding, mailing, and filing.
  • Maintain hard copy and electronic filing system.
  • Sign for and distribute UPS / Fed Ex / Airborne packages / USPS / Norco / Any Deliveries.
  • Inventory, maintain, order and, restock office supplies.
  • Coordinate and maintain records for staff office phones.
  • Setup/Edit and coordinate meetings and conferences through Google, Outlook & Drake.
  • Maintain and distribute staff daily schedules
  • Maintain the On-Hold and Terminated file copy and Electronic filing system.
  • Maintain the Audit Letters, Protection, Filing and Billing Procedure & Support the Bookkeeping Supervisors in this area.
  • Maintain for Bookkeeping Supervisors SOS and Minutes filing.
  • Support the Bookkeeping Supervisors with Scanning and Emailing Forms and Docs into E-Folders.
  • Support Bookkeeping Supervisors in assigned project based work.
  • Assist all departments when needed.
  • Login tax returns as received, Contact clients that we have received their documents if mailed in and verify if they want to keep their pre-scheduled appointment, setup the client folder/tax bag, enter w-2’s, and distribute the returns to the appropriate preparer or tax bin.
  • Assist Tax Supervisors by calling clients to remind them of their appointments, check wages entered against the worksheet, print and assemble tax returns, Scan and Email E-file paperwork
  • Take/send detailed messages through Text/Email
  • Maintain client records and information. Inform Departments of Address changes through filling out CID Update forms located in Taxco in-house documents.
  • Clear your In-Box Every Day.
  • Respond to Letters, Notices, Faxes, Emails and Phone Calls within 24 hours.
  • Other duties as assigned (See attached given as initial Job Detail)

Job Types: Full-time, Part-time

Pay: $16.00 - $19.00 per hour

Education:

  • Associate (Preferred)

Experience:

  • QB Bookkeeping: 1 year (Preferred)

Language:

  • Spanish (Preferred)

License/Certification:

  • CTEC License (Preferred)
