Job Purpose:

The position of Receptionist is responsible for ensuring the smooth flow of work by assisting callers and visitors who are seeking information or contact with Food Bank staff. This position is responsible for performing skilled secretarial duties with expertise in customer service, client relations and clerical skills. This position does not directly supervise any other employee, however, may assist in projects and programs. This position coordinates with all other key members of the Food Bank team and may receive assignments from them. This position reports significant workload conflicts to Business Manager for resolution.

Duties:

  • Receive all incoming calls and greet all guests in a friendly, polite and professional manner. Maintain a positive work environment by conducting all communications with clients, visitors, colleagues, co-workers and supervisors in a professional, friendly, cooperative and helpful manner.
  • Conduct face-to-face and telephone contacts in a courteous and professional manner with each person who enters or calls the Food Bank. Excellent customer service skills are required. Refer, as appropriate, the caller or visitor to the proper staff person, Food Bank member agency or other resource.
  • Research, compile, maintain and update current knowledge of Food Bank activities, programs, collateral materials, office desk manual and other resources so that inquiries are accurately and promptly handled with complete and timely responses.
  • Process general correspondence, thank you letters and the daily mail to include copying and processing of incoming direct mail.
  • Maintain the front office, board room and kitchen area in a neat and orderly fashion.
  • Complete miscellaneous projects and research as directed.
  • Participate in community events, special events, fundraisers and other meetings as assigned.
  • Work cooperatively as a team member with other employees of the Food Bank to create new systems and strategies to increase the awareness of the Food Bank in the community and the region.
  • Perform other job functions as requested or assigned.
Requirements:

Skills and Qualifications:

Excellent communication skills, both written and verbal.

  • Able to take direction well, using good listening skills, asking questions and taking notes if necessary.
  • Ability to work independently.
  • Strong organization skills.
  • Excellent basic computer skills (word processing, spread sheet, data base, email and internet experience).
  • Excellent phone etiquette.
  • Excellent public relations and customer service skills.
  • Ability to perform as an effective team member.
  • Ethical business practices.
  • Maintain a clean, well-groomed appearance.
  • Excellent history of attendance and on-time performance.

Education and Experience:

  • High school or equivalent is required.
  • College or community college degree is desirable.
  • Previous office, receptionist or secretarial skills required.
  • Fluent language skills in English and Spanish required
